As a Property Administrator you will provide comprehensive administrative support to the Head of Real Estate, the property and construction teams together with the wider Haversham House office team. Based in Bedford, you will work closely with a small team while also liaising day to day with the broader executive team. Discretion, attention to detail, and organisational skills are essential for success in this role. You will manage a variety of administrative tasks, including diary management, property-related documentation, financial tracking, and event planning, ensuring the smooth operation of the office and supporting the overall property function. Key Responsibilities Provide Executive support to the Head of Real Estate, including diary management, arranging travel, meetings, and appointments. Monitor the Head of Real Estate's calendar to ensure all necessary documentation is prepared for meetings. Log and file rent and legal invoices related to property, ensuring accurate records. Update various financial trackers, including rent period and accrual trackers, liaising with the Finance team to confirm invoice payments and update records accordingly. Organise monthly reports for accruals for each division and ensure timely submissions. Liaise with branches to arrange landlord inspections and ensure follow-up actions are documented. Maintain and update the Property Schedule, ensuring all information is correct and distributed to the relevant divisions. Assist with property reporting and database management, including the addition of new sites and the safekeeping of original property documents. Work with other departments (e.g., Health & Safety, external solicitors, consultants) on property-related matters. Develop and maintain a filing and archive system, ensuring all legal and property-related documents are organized and easily accessible. Download, scan, and upload important documents to the database, ensuring that records are complete and up to date. Attend property-related meetings and take minutes, distributing notes and action points as necessary. Prepare PowerPoint slides and other materials for monthly team and management meetings. Organise lunches and other events, including the Christmas team event and ad hoc team functions. Plan and book travel for team members and manage expense submissions through Chrome River. General administrative and reception duties. Key Skills Strong organisational and multitasking skills, with the ability to manage competing priorities. Excellent communication and interpersonal skills, with the ability to work independently and as part of a team. High level of discretion and professionalism in handling sensitive information. Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Outlook. Experience in diary management, booking travel, and managing expenses. Ability to develop and maintain an organised filing and archive system. Previous experience supporting senior executives and managing property-related documents is an advantage.
