Contracts and Compliance Administrator - £23K - £25K per annum We are Mantra Learning, the UK’s leading Logistics learning and development organisation. The role: Reporting to the Contracts and Compliance Manager, this role will facilitate and provide support in the development and ongoing contractual and compliance quality assurance and the standard operating procedures. To support the implementation and management of funding body and programme requirements, providing assurance of compliance with funding and awarding body requirement, by effectively and accurately processing and auditing all documentation to ensure timely payment of income to the organisation. Your duties include but are not limited to: Undertake input of timely and accurate data and/or documentation to meet compliance with contract and funding requirements, ensuring all records are checked for accuracy and updated on the management information system. Audit of data and documentation to meet contract and funding requirements and reporting non-compliance to the department manager. Ensure effective co-ordination of contracting process and contracts administration. Produce and develop accurate reports as and when required. Support with external and internal audits on documentation and date to ensure compliance is maintained to funding requirements. Support the contracts and compliance manager with the management of all contracts and associated processes. Undertake input of accurate data and/or documentation to a variety of awarding body systems. Support in invigilation of exams for learners and administration in line with awarding body requirements. Coordinate timely allocation and completion of tasks relating to all aspects of exams (to include): student registrations, examination entries, claims, accurate recording of exam results, ILR security and storage of question papers. Receipt and processing results in MIS system. Receipt, processing and distribution of certificates. Support returns for external examinations and registrations for the provision are completed appropriately and within the timescales set by exam boards. Coordinate the monitoring of exam reports to ensure timely processing of exam registration entries. Personal Skills and General Competencies: Understanding of ESFA funding e.g. apprenticeships, AEB and other similar funding. Effective administration, documentation, systems and processes. Analytical; you can think strategically, and you can handle complexity Strong communication skills (both verbal and written). Good organisational and planning skills; able to co-ordinate multiple projects and competing demands. Takes ownership of tasks, maintaining focus when tight deadlines are required. Demonstrates a positive attitude, focuses on a ‘can do’ way of thinking, and is willing to accept new challenges. Self-starter; able to work independently, but as part of a team. Education and Knowledge Essential Level 2 or equivalent experience. Experience of working cross-department environment within administrative/auditing/reporting role. Liaison with a wide range of people in a professional environment. Experience of using management information systems to monitor, audit, track and report on data. IT and office software experience, including use of Word, Excel and Database. Desirable Experience in an education setting. Experience of Adult Education and Further Education Use of MIS systems – Maytas preferred. Experience with PDSAT reports. Knowledge of funded programmes.
