We have an incredible opportunity for an experienced Executive Assistant in a family office based in Henley-on-Thames, Oxfordshire. In a true ‘Right-Hand’ role, the candidate will be a dedicated professional and ensure the smooth running of the principal’s lifestyle, private life and various personal projects. This is a wonderful role, suitable for candidates with prior experience supporting UHNW or high-profile individuals in a 1-1 capacity. It would also be highly advantageous to have a background in family office, private households, creative industries or yachting experience. It is key that you have an understanding of how things operate on an estate. We are looking for a logical person with the energy, dedication, and skills to support the principals across all aspects of their life. Being a kind and supportive person who can upwards manage delicately and really read the room on when to push and when to step back is hugely important. Privacy and trust is key in this role. Working alongside a project manager, as well as a wider team of staff, you will assist with lifestyle management, some travel coordination and bookings. You will be responsible for diary management both professional and private. Personal shopping, events organization and gifting is a large part of the job. You will be the go-to person and therefore responsible for delegating jobs to the wider team. You are to be the voice of the principle ensuring they are always heard, and their priorities are everyone else’s too. You will need to provide additional support for all matters and will work to pre-empt the principal’s needs and exceed expectations. We are looking for a service-orientated individual with a strong emotional intelligence – someone who is loyal, a go-getter, and can take a large amount of information and turn it into actionable deliverables. The successful candidate will be a profoundly organized, proactive self-starter who takes pride in their work. Solution-focused, you will overcome all hurdles calmly and professionally to ensure that the principal’s business and personal life runs effectively at all times. With proven ability to transform chaos into calm, and creatively circumvent roadblocks are essential capabilities. Based out of the principal’s office in Henley-on-Thames, you will be required to live locally or within a reasonable commutable distance. The ideal candidate will be happy to be on-site from 9am- 5pm Monday-Friday, with flexibility to work evenings and weekends when required. However, the principle is very respectful of your own time – and as long as you are contactable weekend and out of hours work is rare, and normally just responding to a few emails and calls. There will likely be some travel with the role a few times per year. Helping the principle to keep projects going whilst abroad. Hours:- Full time with out of hours support when required Location:- Henley on Thames Salary:- £70k-90k Dependent on experience Start Date:- ASAP Interviewing:- Immediate Responsibilities include, but not limited to: Managing diary coordination across the principal’s schedules and appointments. Frequent and often last-minute travel arrangements, visas, and itineraries Handling some of the principal’s correspondence Developing and maintaining contact with several third-party Performing administrative tasks, such as filing, printing, preparing and editing documents etc. Drafting and summarizing reports Involvement in a variety of ongoing projects Ad-hoc research projects Attend discreetly high-level meetings and take minutes - follow up on complex tasks Handling all private family and personal matters Coordinating with multiple offices Run professional and personal errands and perform all other duties as needed. Candidates must be / have: Multiple years of experience in providing high-level support to a UHNW or high-profile individual or family Experience as an EA in a Family Office. Live locally in Henley, or within a commutable distance and happy to work on-site Valid UK driving license and a confident driver Highly professional, well-presented, and polished Meticulous attention to detail Great communicator with emotional intelligence Team player with a positive can-do attitude Very proactive, adaptable and unruffled by changing plans Excellent diary management skills and the ability to handle a constantly changing schedule.
