Portsmouth Water is seeking a highly organized PMO Analyst to join our Smart Team on a 12-month fixed-term contract. In this role, you will provide essential project management office support across various projects and programmes, fostering innovation and efficiency within the business. Your responsibilities will include coordinating meetings, capturing minutes, tracking actions, and supporting governance and reporting processes.
You will work closely with project managers and cross-functional teams to maintain consistency in project documentation, monitor progress, and support risk and issue management. This position is ideal for someone with strong attention to detail, excellent organizational skills, and a proactive approach, eager to make a significant impact in a fast-paced, collaborative environment.
What will you be doing?
Key Responsibilities
* Timely collation and review of documentation for review/approval at Steering Committee meetings with programme/project managers.
* Managing the approvals process and ensuring clear communication of outcomes.
* Creating and managing requisitions and purchase orders.
* Ensuring all project documents, correspondence, and approvals are consistently filed and categorized in the Document Management System (Teams/SharePoint).
* Maintaining records of governance meetings, including minutes, decisions, and actions, and following up on approvals/decisions relevant to the PMO.
* Scheduling and managing project governance cycle meetings, including diary management, attendee tracking, and providing secretariat services.

* Strong communication skills to interact effectively with a broad range of stakeholders.
* Excellent administration and organizational skills.
* Technological literacy with experience in BI, SharePoint, Teams, and MS Office (Excel/Word).
* Proficiency in extracting data from multiple sources and systems.
* Experience with document and access control in Teams/SharePoint.
* Ability to maintain control documents and ensure accuracy.
* Experience in planning and scheduling projects and programmes.
* Familiarity with RAID management and project controls.
