Northern Ireland Housing Executive - Administration Officer ( Commercial Property)

About the role:
* Hourly Rate: £11.98 per hour
* Location: Belfast
* Hours of Work: 37 hrs per week, Monday to Friday 9.00 am – 5.00 pm
* Holidays: 35 days pro rata
* Duration: Temporary, ongoing

Working within the Commercial Property department, your d uties will include:
* Maintaining and updating Commercial Property Databases and Systems, including filing of lease and associated documents.
* Processing all team communications in an efficient manner
* Maintaining and updating the Commercial Property filing system and implementation of the NIHE Retention Policy.
* Managing and maintaining the ongoing property and commercial tenant reviews and actions for the Commercial Property Surveyors.
* Preparation and issue of all legal and associated documentation to commercial tenants and carrying out the appropriate landlord requirements for the documentation.
* The digitalisation of key commercial tenancy documents, which will involve document retrieval and scanning.
* Dealing with commercial tenant’s queries, including accepting rent payments.
* Dealing with rent arrears recovery, including preparing necessary documentation for legal action.
Criteria:
* Possess a BTEC Higher or equivalent qualification plus one years relevant general administrative experience.
OR,
* Possess a BTEC National or equivalent qualification plus two years relevant general administrative experience.
OR,
* Exceptionally, candidates not holding the above level of qualification but with three years relevant general administrative experience, may also be considered.
AND,
* Have significant experience in the following areas:
o Experience in providing effective administrative support for the delivery of business unit objectives and core activities.
o Experience in the maintenance and development of complex electronic databases or IT support systems using Microsoft packages including e.g. Outlook, Word, Excel, or Access.
o Experience of dealing with internal and external stakeholders to achieve business objectives.
o Experience in the preparation of written reports for senior management.
