We are looking to recruit a part-time Scheduling Assistant on a permanent basis to support our Community Dental team based at South Tyneside Hospital. However, you may be needed to cover various locations across Sunderland, South Tyneside, and Gateshead.
The post holder will be one of a team of administrative support staff who provide essential administrative functions while interfacing with clinical and administrative staff, patients, and the general public. The service is fast-paced, and you would be expected to carry out a variety of administrative tasks.
Candidates must be able to demonstrate they have the ability to communicate effectively with people at all levels by telephone and in person. Excellent organisational skills, flexibility, and time management are also essential.
You should have excellent keyboard skills and a working knowledge of software packages.
You may be required to cover other reception areas when necessary.
We are recruiting for a part-time post of 15 hours per week.

Main Duties of the Job
1. To meet and greet dental patients and carers attending the dental service.
2. To manage and deal with all direct and indirect patient/carer enquiries pertaining to dental appointments.
3. Responsible for making dental appointments on the R4 computer system and demonstrating the ability to handle sensitive and confidential patient information.
4. Provide a wide range of administration and clerical functions to support the provision of an efficient and effective dental service.
5. To be responsible for the effective running of the reception within the dental clinic.
6. To support the clinical team with administrative tasks.

Job Responsibilities
1. To enter patient referrals, arrange new and review outpatient appointments, and to register patient attendances adhering to agreed procedures.
2. To provide Contact Centre and Reception cover across the Outpatient Services Department, providing both direct and indirect support to patients/carers pertaining to dental appointments.
3. To actively prepare and manage dental notes for clinic appointments.
