About The Role
Days of Working: Monday to Friday
Locations: Working across the North & East regions of Scotland
Reporting to the Operations Director and working as part of the senior management team within the Police Scotland contract. To lead, organise, and delegate duties where necessary for a team of Area Managers and Support Managers within a defined geographical area. Providing management report information to the Operations Director on a weekly, monthly, and annual basis as required, ensuring the smooth running and operation of the contract. Maintaining agreed financial boundaries within contract guidelines, offering savings and efficiencies where possible to the benefit of OCS without compromising the quality of service delivered to our client, whilst adhering to SLA’s and KPI’s.
Key Responsibilities
* Attending Client meetings – Monthly soft services, KPI, and All Hands Call on Teams as well as Face to Face with clients Regional and Facility managers.
* Compile rota’s for mobile coverage of client Police Sites and OCS staffed sites. Rota to include flexibility to cover reactive calls.
* Review weekly labour budget with area managers within responsibility and report to the Operations Director any discrepancies.
* Ensure Health and Safety Compliance and conduct SSI’s audits. Investigate incidents/accidents with the guidance of the Operations Director and/or the H&S Manager as necessary, especially if RIDDOR reportable.
* Ensure long-term account sustainability and maintain and develop strong client relationships together with providing optimum service provision.
* Focus on continuous improvement and innovation to ensure our service provision continues to deliver our client’s needs.
* Manage a complex business with an intimate knowledge of cleaning services, business opportunities, value, and people skills.
* Understand financials from a client and customer perspective to ensure we deliver against budget while identifying business opportunities.
* Manage, liaise, and hold minutes for meetings with sub-contractors, ensuring adherence to SLA’s KPI’s and delivery of services at the agreed contractual price.
* Lead operationally in defining and ensuring that contracted services perform to the highest standards, fulfilling all contractual obligations and delivering forecasted financial targets.
* Manage operating costs for the client's contract and oversee the operations team, including all operating costs for each site and responsibility for the approval of expenditures from your allocated budget.
* Provide regular financial reports regarding budget and funding commitments as required.
* Compile management information and slides for monthly client reports.
* Monitor Time gate hours delivery of sites and investigate any unusual high or low hours delivery of sites.
* Cover for annual leave, long-term sickness, and vacancy of Area Managers, including auditing of sites to the agreed planned schedule.
* Compile costings for Compensation Events and follow process for CE through to conclusion and steady state.
Qualifications & Experience
* BICS’s trained
* IOSH Managing Safely
* IT presentation ability – i.e. Microsoft PowerPoint, SharePoint, certification
* Full understanding of Office 365 applications.
* Full Driving License essential.
* Police Scotland has a requirement for Level 2 vetting of any person working within the contract. Any offer of employment will be subject to any candidate meeting these criteria.
* Vetting checks are subject to review and change; applicants will need to demonstrate a full 5-year residential history as part of the application.
* Previous experience in delivering soft solution services to a large client estate.
* Proven experience in managing people across multiple sites and locations.
* Proven experience in managing multi-functional projects and multiple stakeholders.
* A proven track record of dealing with senior clients and customer demands.
* Experience working at a senior level in operational management, leadership, and service delivery environment.
* Experience in setting and achieving the standard for safety, quality, time, and cost.
* Experience in managing a budget and proven commercial acumen when dealing with all financial matters.
* Strong interpersonal skills with an ability to operate and build credibility at a senior level with key stakeholders.
* Excellent negotiating and diplomacy skills combined with the confidence and resilience to handle potential conflict situations.
* Ability to resolve conflicting issues and priorities.
