Office location: Independent Monitoring Authority, 3rd Floor, Swansea Civic Centre, Oystermouth Road, Swansea, SA1 3SN Job description Purpose of the post The IMA Legal Directorate is seeking to hire a Legal Administrator. The post holder will work within the Legal Directorate. The post holder will report to a Legal Adviser but will work with all members of the Legal Directorate, and sometimes with colleagues across the IMA, to provide all necessary administrative assistance to the Legal Directorate. The Legal Directorate provide legal advice to the Board, Executive Team, Operational Delivery and Governance and Corporate Services Directorate of the IMA. The Legal Directorate is also responsible for conducting all litigation on behalf of the IMA, scrutinising the legislative framework across the UK and Gibraltar and contribute to external communications to promote awareness of the IMA and the rights of EU, EEA EFTA citizens and their family members. The primary role of the Legal Administrative Officer will be to contribute to the successful delivery of legal services to IMA colleagues and the Board through the provision of administrative assistance to the Legal Directorate. You will have the full support both from within the Legal Directorate and from colleagues across the IMA. We offer tailored learning and development required for the post holder to be successful in this role as well as support and guidance to progress at the IMA. This role will not provide experience which is Qualifying Work Experience for the purposes of the Solicitors Regulation Authoritys Solicitors Qualifying Examination route. Anyone wishing to secure Qualifying Work Experience at the IMA can apply as part of the next Trainee Solicitor scheme recruitment due in Spring 2025 for an Autumn 2025 start. Responsibilities The successful candidate will be required to carry out legal administrative support in relation to the following matters: organising meetings, training and managing diaries, development and maintenance of the IMA Legal Teams knowledge/file management system, monitoring of requests for legal support, handling facilities, resources and financial requests on behalf of the legal team. This will include setting up suppliers, raising purchase orders, management of invoices and recording of financial expenditure; assisting in maintaining training materials and guidance; administration relating to the IMAs trainee solicitor scheme; and the IMAs litigation functions, including the filing of documents with the courts. The duties/responsibilities listed above describe the post and are not intended to be exhaustive. Essential Skills Have good general IT skills including proficiency in Microsoft Word and basic skills in Excel.
