Join Our Team - Commercial Administrator (2-Day Job Share)
Position Overview:
We are seeking a detail-oriented Commercial Administrator to support our management team with administrative tasks. Key responsibilities include handling phone and email enquiries, processing small sales enquiries, maintaining production records, and generating reports on sales performance, contract status, projects, and job costing.
This is a job-share role, requiring two days of work per week. You will collaborate with another Commercial Administrator, ensuring seamless handovers and continuity while maintaining flexibility.
Responsibilities:
1. Ensure invoices are generated accurately and in a timely manner according to contract terms.
2. Maintain records of invoices issued and payments received.
3. Create new job entries on ERP system.
4. Ensure all relevant estimates and project details are accurately loaded into the system.
5. Regularly update price lists from vendors within the ERP system to ensure accurate pricing information.
6. Upload internal quality assurance paperwork onto ERP.
7. Manage the completion paperwork for jobs and ensure data is loaded against the appropriate job.
8. Provide weekly snapshots on customer orders.
9. Regularly review projects to ensure materials are recorded correctly.
10. Perform reconciliation at the end of each project to ensure accuracy.
11. Analyse timesheets and notify relevant parties of any issues with job cost or general ledger time booking.
12. Handle various supplier management tasks such as uploading files and sending out questionnaires when required.
13. Oversee fixed asset tracking, ensuring alignment with financial records.
14. Other tasks as may be assigned by your line manager.
15. Manage Staff expenses for working away.
16. Cover for Stock Controller & Administrator as required.
Job Requirements:
Essential:
1. Previous experience working with supplier contracts and contract terms.
2. Commercial risk awareness.
3. Excellent IT skills in MS Excel and proficient in Word.
4. Adaptability to prioritising tasks.
5. Ability to demonstrate high standards of customer care.
6. Ability to maintain appropriate levels of confidentiality.
Desirable:
1. Previous experience in an accounting role.
2. Previous experience with ERP systems.
3. Good interpersonal skills.
What Can You Expect:
1. Competitive salary: £25,000 - £28,000 per annum (Pro-rated for part time, based on full-time equivalent).
