Vacancy Name Facilities Coordinator Vacancy No VN628 Employment Type Full Time Location of role Oxford, UK Department Ops & Facilities Key Responsibilities Main Purpose of Job: The role focuses on managing the company's assets and maintenance operations, emphasizing the efficient operation of the Computerized Maintenance Management System (CMMS) for Facilities Operations creating preventive maintenance (PM) plans and managing assets. The role provides technical support for the laboratory team's AMICI system utilized to track lab assets and maintenance plans. Coordinator reviews task completeness, ensuring regulatory compliance in support of facilities and lab systems, verifying quality of executed work by employees and contractors. Responsibilities include identifying maintenance issues, compiling reports on performance, and analyzing data to optimize systems. The Facilities Coordinator ensures effective communication, customer service and process compliance. When required, the coordinator will collaborate closely with internal team members and external resources on CMMS usage. Role requires analytical skills to solve issues, make recommendations, and influence strategic decisions, while interacting with management and peers to communicate results effectively. Plan and schedule workflows with team leads. Key Responsibilities: • CMMS Management: Develop, implement, and maintain CMMS processes to ensure efficient tracking and management of maintenance activities. Participate in the ongoing development of the CMMS system including updating and reviewing. • CMMS Preventive Maintenance: Create and manage preventive maintenance plans, schedules, and parts lists to ensure optimal operation of facilities and equipment. Take the lead to ensure PM tasks are complete and up to date in line with SFG20 maintenance regime. • CMMS Asset Management: Oversee the management of facility assets, ensuring accurate records and efficient utilization. • CMMS Reporting: Generate and analyse reports on maintenance activities, task completion, and system performance. Provide insights and recommendations for improvements. • Regulatory Compliance: Ensure all facilities operations comply with relevant regulatory requirements, including GMP standards and safety regulations. All associated paperwork in relation to statutory tests and inspections are placed into the relevant file, system or tracker i.e. Gas safe, AHUs, LOLER, PSSR, laboratory equipment service and daily plant room checks. • Service Ticket Management: Ensure service tickets are stored and tracked within the CMMS. Update and log completed tasks within the relevant systems or trackers, self-performed or by contractors if not part of CMMS. • Contractor Oversight: Monitor the execution of work by contractors, ensuring adherence to safety procedures and quality standards. • Team Guidance: Provide guidance and training to team members on the use of the CMMS and maintenance procedures. Mentor new employees within the facilities team when required, sharing experience, and advising of best practice/solutions. • Safety: Ensure all procedures include site safety protocols and that contractors follow these protocols. Ensure H&S compliance and highlight any concerns for H&S issues immediately. Identify and deal with issues on a pro-active basis to ensure a clean, safe, and tidy workplace. Consult with the EHs department on matters impacting health and safety or compliance with EHS statutory provisions. • Safety Equipment: Support the PM for critical safety equipment ensuring all is maintained per schedule/PM scheme. • Routine: Conduct maintenance assessment of building associated systems. • Reports: Produce the required monthly and annual compliance certification in relation to tasks conducted. • Collaboration: Collaborate closely with internal team members and external resources to coordinate maintenance activities and resolve issues. • Support Team Leads: Support all team and department leads as required. Supervisory Responsibility (If applicable): • Contractors Education, Experience and Knowledge: Essential Qualifications: • IOSH Managing Safety • Workplace and Facilities Management (IWFM) qualification Essential Experience • Typically requires 5 years of related experience, or equivalent experience, preferably in the biotech or pharmaceutical industry. • Knowledge and experience in meeting statutory requirements across an array of building requirements, equipment, and systems. • Knowledge of BMS and CMMS, AMICI is a plus. • Understanding of GLP/GMP standards and regulatory compliance requirements in a biotech environment. • Good understanding of UK health and safety regulations as they apply to role. • Ability to work independently and as part of a team. • Strong problem-solving skills and attention to detail. • Able to analyze data, generate reports, and manage projects effectively. • Have excellent communication skills to communicate effectively with the team, management, and other stakeholders. • Good organizational abilities with a systematic approach to prioritization. Desired Additional Experience: • Worked within an office and laboratory environment • Knowledge of SFG20 • Microsoft office (Word, Excel, Outlook) • Knowledge in AHU systems, boilers, water systems and lab equipment. • Confident in carrying out and assessing statutory maintenance tasks. • Understanding of BMS systems and operational plant rooms. Other: • Ability to plan daily workload in collaboration with team leads and communicate effectively throughout the team /business. • This job operates in a professional office & laboratory environment. This role routinely uses standard office equipment such as computers, telephones, as well as DIY tools such as drills, screwdrivers, etc. The ability to drive a van is essential.
