We are offering a great opportunity for an experienced Administrator to join our Mental Health Support Teams (MHST) in Norfolk.
The ideal candidate will be flexible and keen to be involved in ongoing service development including new ideas to support the administrative processes within the service.
The Emotional Health and Wellbeing Service continues to grow with team members working across Cambridgeshire, Peterborough, Norfolk and Waveney. Therefore, excellent communication skills and the ability to understand and work with other people is vital.
We can offer some flexibility on how you work. However, it is anticipated that most of the time you will be required to be office based at Breckland Business Centre in Dereham. Please note that the post is advertised for a January 2025 start.

The Mental Health Support Team Administrator role will provide full administrative support to our MHSTs. This will require you to be comfortable carrying out a range of duties, some of which may be at short notice.
You will have opportunities to work alongside our growing administration team to embed systems and processes and be involved in the management and provision of high-quality information, enabling our teams to confidently support children, young people and their families and schools. To provide the administrative support for the MHST, including taking minutes, writing letters, booking rooms, organising meetings and organising the team.
To support with recording and monitoring the team’s governance data.
Support and manage the patient referral process for the team.
To use electronic patient management system (SystmOne) to register, process, check, update and discharge patients.
To type appointment letters and send clinical letters and discharge letters.
To maintain and update accurate patient records in accordance with standard operating procedures including scanning, filing, and typing.
Respond to all queries, correspondence and issues within the team.
Prioritise and manage own workload.
Implement processes and practices to ensure best practice within the team.
To ensure that all team contact details are kept up to date.
To produce information and data relating to the service as required.
To support with recruitment of new team members.
Communication
1. Ensure that all information is disseminated to staff as appropriate.
2. Ensure clear and effective liaison with other agencies, e.g., Education, Social Services, Police, etc.
3. Maintain links with other relevant administration staff to ensure support network and common systems of working are developed and when necessary, demonstrate/assist less experienced colleagues with tasks.
4. To answer queries from other professionals outside of the team.
5. To ensure effective communication between the MHST using various mediums such as email and phone calls.
6. To assist with day-to-day queries into department.
7. To provide data and information for reports as required.
8. To provide narrative or description to data as required.
9. To fully understand and work in a manner that recognises the importance of confidentiality and the sensitive nature of the information that is being stored or shared.
10. Contribute to CCS internal communication strategies ensuring effective two-way communication and engagement within the organisation.
11. Contribute to CCS external communication strategies to raise awareness and promote the reputation of CCS services.
Budgetary Responsibility
1. Order specialist equipment and consumable for services as required.
2. Receipt goods as required.
3. Liaise with central procurement team for routine orders.
4. Monitor use of consumables within own area and identify areas of saving and make changes as required.
People Management
1. To demonstrate and train staff within the remit of your tasks.
2. Raise any performance issues or concerns to your line manager.
3. To support staff undergoing induction within your department.
4. To participate in supervision to ensure work is to an excellent standard.
5. Maintaining own professional development and requirement to take part in appraisal and KSF process
