Medical Supplies Administrator

To work as part of the Specialist Children’s Community Nursing Team to ensure the smooth running of children’s services from within the Children’s Resource Centre. This includes managing equipment and supplies, stock management, and completing general administration.
This Job Description outlines the role and person specification for someone who can already demonstrate the knowledge, skills, and experience required for this role.
Main duties of the job
To support the Specialist Children’s Community Nursing Team, including but not limited to:
1. Collating and managing stock requirements, monitoring stock levels and ordering equipment and supplies as needed. This includes liaising with business coordinators.
2. Unpacking SCCN stock, ensuring that what is received matches with the delivery note. Liaising with supplier if stock is missing or the incorrect product has arrived within timescales so we are not charged.
3. Gathering supplies for patients - some requiring extensive supplies on a monthly basis - and communicating with families regarding this.
4. Managing all incoming and outgoing stock deliveries in accordance with organisational protocols.
5. Ordering new and replacement shock packs for the nursing team through Medicines management.
6. Arranging asset tagging of newly purchased equipment and reporting faulty equipment to the equipment service contractor (KeyHealth Solutions).
7. Organising spare equipment to be collected by families if an item is faulty or they need a replacement during servicing.
8. Managing the yearly servicing of equipment for patients, including liaising with families and the equipment service contractor.

Qualifications
* Educated to GCSE Level or equivalent
Experience
* Experience of working in an administrative and/or reception role
* Previous experience of working in a customer focused environment with face to face interaction with the public.
* Experience of working in a busy environment.
* Recent experience working within the NHS or a private Healthcare setting.
* Experience of working in an administrative and/or reception role, or a procurement role.
* Previous exposure to dealing with confidential information.
Specific Skills
* Good communication skills, with experience of dealing tactfully with people at all levels.
* Good organisational skills with the ability to prioritise tasks.
* Ability to work independently.
