ROLE SUMMARY This role provides critical support to the ICO President for all administrative and logistical activities. The individual will be a trusted partner, often dealing with sensitive topics. They will need to fully understand and support the ICO priorities, allowing him to successfully deliver on his commitments through excellent time management and efficiency. Agility, ownership, proactivity are necessary skillsets, to ensure the leaders time and energy are maximized, with a clear understanding of the leader’s needs. In addition the colleague will be capable and confident in working with other administrative roles across senior levels of our company. Partnering with the Internal Communications Lead, the successful colleague, will play a supporting administrative role in helping to deliver communications, town hall logistics and connection sessions within the ICO organisation to build a thriving culture. A front line partner in the planning and delivery of the logistics for the yearly ICO All Meeting, along with quarterly Leadership Team meetings, and other ad hoc as required. Working together to ensure an inclusive, supportive admin community with the other UK country office administrators. Ensuring that appropriate processes and policies are followed diligently aligning with required compliance and adherence. When managing logistics associated with external stakeholders, this Admin EA, will help to shape a positive reputation and relationship with outside organisations. ROLE RESPONSIBILITIES Administrative Support (40%): Provision of a full range of administrative support to the ICO President. Coordinate and manage the calendar, schedule meetings, manage all travel arrangements, process expense reports, and provide purchase order support when needed. Work with other in-country admins when planning overseas travel and meetings. Support the planning and executing of critical business meetings and processes e.g Operating Plan to ensure, time management, simplicity and effectiveness for the ICO business. Meeting/Time Management (40%): Ensure President has a well-structured calendar - regular appointments / meetings and 1:1’s are scheduled in advance, with managers’ preference for breaks and focus time respected. Stay one step ahead and be proactive in rescheduling conflicts. Support Communications Lead with planning of colleague engagement meetings, townhalls and yearly ICO Face to Face meeting. Support Strategic Lead with LT meeting agendas, creating Copilot summaries and timely follow up. Plan and organize other specific meetings such PLI Performance Assessments, Goal Setting and Calibration Sessions. Work with ICO team admins, considering and continuing to simplify meeting processes, educate colleagues and markets in the use of Office 365 applications as needed. Work with Communications Lead, managing ICO Leadership and ICO-All Teams sites, keeping all sites well organized, structured and up to date; to simplify work. Projects, People/Culture/Communications (20%): Serve as liaison for various internal and external stakeholders. Handle team requests and inquiries with friendly positive approach. Contribute to create an inclusive culture; in the way we work, communicate, bring our priorities to life and balance our wellbeing within the ICO. Partner with ICO Admins. offer support and proactively sharing best practices as a team, to build an effective admin network. QUALIFICATIONS AND EXPERIENCE Previous experience of supporting a senior leader with administration and logistics support. Experience with extensive travel planning and logistics, with good knowledge of the Concur Travel System. Articulate, credible, clear and authentic communicator across all levels of the organisation. Strong interpersonal skills and ability to communicate across cultures. Ability to build a strong organizational network. Experience of working across multiple countries and cultural diversity is helpful. NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS Colleague will need to be able to support leaders working in GMT and GMT 1 time zones day to day and where necessary engage across the whole International region. ORGANIZATIONAL RELATIONSHIPS Provide support and administration to ICO President. Day to day interactions with ICO Leadership Team, Communications Lead, Strategic Lead and ICO Admin Community, plus regular interaction with International Division EA. Senior leaders admin teams across ICO, MCO and NYHQ. Primary point of contact for external stakeholder teams engaging with President.
