This role can be based at can any of the following sites; Culham, Oxfordshire or Whitehaven, Cumbria
This role primarily requires onsite presence, with potential for remote work one day per week in the future.
This role requires employees to complete an online Baseline Personnel Security Standard (BPSS), including The Disclosure & Barring Service (DBS) checks for criminal convictions.
The Role
We are seeking a highly organised and proactive individual to join our dynamic team as a Department Administrator. In this pivotal role, you will provide comprehensive administrative support to ensure optimal efficiency within the Robotics, Repurposing & Decommissioning Directorate.
Key Responsibilities
* You will act as the primary contact for general queries, addressing issues swiftly and escalating as required.
* You will be coordinating and managing complex travel arrangements, including UK and international travel, accommodation, and itinerary planning.
* Organising and managing on-site meetings, including agenda preparation, minute-taking, and action logging.
* You will manage office supplies and ordering processes, including requisition and purchase orders.
* Processing expense claims in accordance with the organisational procedures.
* You will proactively and effectively deliver inductions to new starters and visitors.
* Liaising with other departments to secure IT access, site and building access for new starters.
* Contributing to the recruitment administration and coordination of summer placement programs.
* You will ensure compliance with display screen equipment (DSE) assessments in line with current legislation.
* You may be asked to perform additional administrative duties as required, within the remit of this role.
Qualifications
Essential
* Demonstrable experience in an administrative role.
* Strong proficiency in Microsoft Office and general IT skills.
* Strong customer service mindset, to ensure the needs of stakeholders are met with professionalism and efficiency.
* Ability to adapt quickly to changing priorities or new processes.
* Proven ability to manage multiple tasks in a fast-paced environment.
* Strong time management and prioritisation skills.
* High level of written and verbal communication expertise.
* Flexibility to undertake a wide range of administrative tasks.
* Self-motivated with the ability to work independently and as part of a broader team.
* A discreet and professional approach to handling sensitive information.
Desirable
* Experience arranging international travel.
* Familiarity with SharePoint or similar systems.
