Responsibilities:
1. Providing administrative assistance to members of the SPACE service and community team.
2. Assisting with the induction of new starters within the teams.
3. Attending and contributing to relevant team meetings, which will include travel across sites, taking and transcribing minutes, and assisting in the preparation of presentations and general correspondence.
4. Assisting with data collection and activity recording, producing statistical reports on a routine and ad hoc basis.
5. Updating child and family electronic data as required.
6. Assisting with the auditing and service evaluation process for the SPACE service and the Community team.
7. Formatting and circulating symptom management plans, emergency care plans, ambulance directives, and letters to families and professionals.
8. Arranging, taking minutes, and preparing relevant documentation for meetings.
9. Acting as the communication point between SSCH and the Royal Marsden Hospital NHS Foundation trust, or other contracted provider, in relation to appointments for and referrals to the Consultant in Paediatric Palliative Medicine.
10. Supporting the SPACE service in collating user and professional feedback.
11. Undertaking diary management for the teams.
12. Taking calls from families and navigating responsive contact from the clinical team.
13. Understanding and following referral and discharge pathway for the SPACE service.
14. Supporting letters generated from clinics, visits, and discharges.
15. Facilitating and coordinating the hospice outpatient clinics.
Person Specification:
1. Excellent oral and written communication skills, with the ability to communicate effectively yet sympathetically with the parents/carers of life-limited children and other professionals.
2. The ability to work under pressure and manage workload and prioritise competing tasks effectively.
3. Experience of working with Microsoft Office applications including Word, Excel, Outlook, and Access, as well as database packages and websites.
4. Minute taking and copy typing, with the ability to produce accurate and well-presented medical letters and reports.
5. An understanding of National guidance in relation to Record Keeping and management of Health Care records.
