We are currently recruiting a Facilities Assistant to join our team and provide exceptional mail room services while assisting with general maintenance, security, and customer service support for our client and their customers Some of the key deliverables in this role will include: As a Facilities Assistant, you will play a key role in providing a full range of mailroom services and supporting the smooth running of the building's facilities. You will ensure that services are delivered efficiently, meeting the needs of both the client and customers while maintaining high levels of service quality. Key Responsibilities: Mail Room Management: Sort and distribute incoming and outgoing mail, frank outgoing mail, and manage internal and external deliveries in line with company and client policies. Stationery & Supplies: Order, issue, and manage stationery stock. Ensure proper handling of waste, including toner and rubbish bales. Maintenance: Assist with general maintenance tasks such as replacing light bulbs, hanging pictures, and changing canvas prints. Report any major issues to the dedicated engineers for resolution. Meeting Room & Porterage Support: Set up meeting rooms, assist with porterage, and provide support for any AV equipment issues, escalating major concerns when necessary. Building Management: Respond promptly to building emergencies, keep internal store areas clean and tidy, and ensure all entrances are clear of obstructions. Customer & Client Liaison: Develop and maintain strong relationships with clients and customers, ensuring that all services are delivered to the highest standard. Supervise subcontractors as needed for maintenance, repairs, and projects. Safety & Reporting: Maintain a safe environment by adhering to safety guidelines and proactively reporting any defects to the helpdesk or local FM. What we’re looking for : IT literate with a strong working knowledge of Excel, MS Word, and Apple systems and software. Excellent interpersonal and communication skills with the ability to interact effectively at all levels. Flexible and adaptable approach to work, with a strong ability to problem solve and work under pressure. Courteous and professional at all times, with a customer-focused attitude.
