JOB DESCRIPTION
HEALTH, SAFETY, ENVIRONMENTAL & ADMINISTRATIVE ASSISTANT IN HVAC MANUFACTURING COMPANY
Location: Conlig, Bangor
Reports to: Managing Director
Position: Permanent, full-time, Elta NI premises
Working hours: Monday to Thursday 09:00 - 17:00, Friday 09:00 - 16:00 with an hour unpaid lunch break
As a Health, Safety & Environmental Assistant, you will work closely with the Managing Director to ensure that the Company maintains all required certifications and is legally compliant in all its health, safety, and environmental activities across the Group. All candidates should make sure to read the following job description and information carefully before applying. You will be instrumental in promoting a positive HS&E culture within the Business. Additionally, you will undertake essential local office administrative duties not covered by Group administration and financial departments.
Key Responsibilities
1. Health, Safety & Environment (HS&E) Certification and Compliance
1. Assist in maintaining all required HS&E certifications.
2. Ensure compliance with all legal and regulatory HS&E requirements.
3. Keep up-to-date with changes in HS&E legislation and ensure the company is informed and compliant.
2. Policy Development and Implementation
1. Assist in developing, updating, and implementing HS&E policies and procedures.
2. Conduct regular reviews and audits of the HS&E management system.
3. Training and Awareness
1. Organize and facilitate HS&E training sessions for employees.
2. Promote HS&E awareness through various initiatives and communications.
4. Risk Assessments and Incident Reporting
1. Assist in conducting risk assessments and implementing risk control measures.
2. Record and investigate incidents, accidents, and near misses, and recommend corrective actions.
5. HS&E Reporting
1. Prepare and present HS&E performance reports to senior management.
2. Maintain accurate HS&E records and documentation.
6. Administrative Duties
1. Office Administration
1. Manage local office supplies and equipment.
2. Coordinate office maintenance and repairs.
3. Handle incoming and outgoing correspondence.
2. Support to Managing Director
1. Provide administrative support to the Managing Director, including scheduling meetings and managing communications.
2. Assist in preparing reports, presentations, and other documents as required.
3. Coordination with Group Administration
1. Liaise with Group administration and financial departments to ensure seamless coordination of administrative tasks.
2. Handle any local office administrative duties that cannot be covered by Group departments.
4. Event Coordination
1. Organize and coordinate internal and external events, including meetings, training sessions, and company functions.
Skills and Qualifications
1. Educational Background: Relevant HS&E certifications (e.g., NEBOSH, IOSH) are highly desirable.
2. Experience: Proven experience in a similar role within an HS&E environment. Experience in office administration and support functions.
3. Technical Skills: Strong knowledge of HS&E legislation and best practices. Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
4. Personal Attributes: Excellent communication and interpersonal skills. Strong organizational and time-management abilities. Attention to detail and problem-solving skills. Ability to work independently and as part of a team.
