Kenna Recruitment has a brand new exciting opportunity for an experienced Document Controller / Administrator to join a world class main contractor which focus on high end refurbishments in the private client sector.
Overview:
The Project Coordinator plays a vital role in ensuring the smooth and efficient execution of projects from start to finish. The position involves supporting management and department teams, assisting with administrative and logistical tasks, maintaining compliance, communicating with stakeholders, and streamlining processes to keep projects and operations running efficiently. This role ensures projects are delivered successfully on time, within budget, and to the highest quality standards while fostering positive relationships with stakeholders and the community.
Health and Safety
* Ensure that all site activities adhere to health and safety regulations and company policies and monitor compliance with health and safety regulations, standards, and best practices.
* Organise health and safety training for staff.
* Proactively assist with completing H&S documentation and any Health & Safety site requirements.
* Assist in reporting and investigating accidents or near-misses to identify root causes and implement corrective measures.
* Maintain accurate records of H&S documentation including audits, RAMS, and tool-box talks.
Site Support
* Proactively assist the site and construction team with any information, documentation and Procore requirements, ensuring company quality standards are met.
* Support the site team by arranging equipment, materials, and other logistical needs.
* Serve as the liaison between site team, project management, subcontractors, and office teams to ensure efficient operations.
* Monitor progress on-site and address any issues promptly with the project team and assist with inspecting on-site work to maintain high-end quality standards.
Project Management Support
* Support the project management team initiating and completing reports, inspections, documentation, sample approvals and communication as required.
* Assist in resolving issues related to schedules, budgets, or documentation and flag any discrepancies.
* Monitor document deadlines and ensure timely completion of review, approval, and submission processes.
* Support with any project specific regulatory requirements or client needs.
Pre-Construction
* Compile and organise project documents, such as contracts, permits, and design plans, ensuring readiness before project initiation.
* Collaborate with project managers, engineers, architects, and other team members to resolve document-related issues and ensure alignment with project objectives to comply with project goals.
* Collaborate with the estimation and commercial team to gather data for budgeting and cost analysis.
Document Control
* Receive, review, maintain and organise all project-related documents ensuring they are up to date and easily accessible, including drawings, specifications, contracts, RFIs, submittals, and correspondence.
* Manage document revisions, updates, and changes, ensuring that all parties have access to the latest versions of documents in compliance with company quality standards.
* Coordinate the timely distribution of project documents to team members, subcontractors, clients, and other stakeholders in a timely manner, following established distribution protocols.
* Ensure that project documentation complies with established standards, specifications, and regulatory requirements.
* Conduct regular audits and quality checks of project documents to verify accuracy, completeness, and consistency with company quality standards being adhered to.
Qualifications:
* Proven experience in project coordination and accreditation compliance, preferably in construction.
* Knowledge of quality management systems (ISO 9001), health and safety regulations (HSE), and environmental management standards (ISO 14001).
* Strong analytical skills with the ability to review risk assessments, root cause analyses, and performance evaluations.
* Impeccable attention to detail, ensuring accuracy whilst being proactive in problem-solving.
* Excellent communication, interpersonal, and teamwork skills, with the ability to engage and motivate at all levels.
* Strong knowledge of document management systems, software, and tools, preferably experience with SharePoint and Procore platforms.
* Proficiency in Microsoft Office Suite and management software/tools.
