Job description
Aligra is currently seeking a Facilities & Maintenance Administrator for our client in Hinckley. In this role, you will be responsible for utilising computer software systems to manage maintenance management activities and provide administrative support to the Facilities & Maintenance and Engineering teams.
About the Role
As a Facilities & Maintenance Administrator, you will be responsible for:
* Utilising computer and computer software system maintenance management system (MMS or similar) to set up system functions, enter data and process information related to Engineering, Facilities, Maintenance and other related equipment or activities.
* Providing activities forecast by using system reports and functions.
* Ensuring updates are entered into the MMS in a timely manner to provide performance management.
* Working with UK teams to identify and implement new MMS capabilities and initiatives.
* Interacting with various departments to provide information and resolve issues when possible, or ensure escalation to the correct department or level for solutions.
* Performing administrative activities, including end dates of service contracts & advising of renewals dates, internal audits to ensure compliance, and budget & expenditure tracking for the Facilities & Maintenance and Engineering Team.
* Creation/maintenance of an Engineering/Maintenance UK Database, and creation of process flows and work instructions for process and DB usage.
* Coordinating UK Engineering Team’s (Engineering, Maintenance, and Facilities) administration and documentation to ensure completeness and compliance per local laws, guidance, and legislation.
* Monitoring procurement/purchase requisitioning activities within the UK Engineering and Facilities Team.
* Maintaining and analyzing the database to ensure it is up to date with timely, accurate, and detailed information across UK e.g. Task completion, overdue tasks, hours with contractors, and travel time.
* Training, mentoring, and coaching site engineering and maintenance teams on their use of documentation and systems to improve the standard of administration.
* Liaising and working closely with Facilities & Maintenance Team UK, Engineers (Site Lead and team) from other UK sites, Engineering Manager UK, Finance UK, and Procurement UK/EMEA.
How You Will Contribute
* To be successful in this role, you must be able to follow through on all assignments, meet deadlines consistently, have strong office administration skills including complete knowledge of Microsoft Office, and be professional, accurate & precise, with the ability to manage multiple tasks. Additionally, a valid driving licence and use of a vehicle is required as travel between sites will be necessary.
Shifts & Pay
* We are delighted to be able to offer flexible start times between 07:30-08:30. The role will be working Monday to Friday, 40 hours per week.
* £12.08 per hour
