My client is seeking a dynamic Personal Assistant to the Managing Director for a full-time, office-based role in a lovely modern office environment. This position offers a diverse range of responsibilities, requiring you to effectively prioritize and manage various administrative tasks, including event coordination. The ideal candidate will support multiple team members, demonstrating a high level of professionalism, initiative, and the ability to build strong relationships across all levels of the organization. Proven experience in a similar role and exceptional Microsoft Office skills are essential for creating high-quality, innovative presentations.
Key Responsibilities:
* Prepare, collate, and distribute Board papers
* Arrange travel and catering
* Manage diaries and organize meetings
* Handle correspondence and confidential documents
* Perform general typing and filing
* Maintain an efficient filing system
* Take minutes as needed (excluding shorthand)
* Arrange holiday cover for other administrators and distribute work during busy periods
Departmental/Office Administration:
* Answer and direct telephone calls
* Organize team events, including staff outings, briefings, and the Christmas party
* Take minutes for weekly and project meetings
* Coordinate and minute various meetings
* Prepare offer letters and strategy documents
* Manage invoices
* Assist in setting up consultation events
* Maintain contact lists
* Promote a paperless environment through ongoing scanning
* Provide ad hoc office support, including reception and phone coverage
* Manage meeting rooms
* Collate documents for applications
* Oversee IT requirements for the team
* Manage training and subscriptions
* Facilities management
