We are seeking a proactive, detail-oriented Medical Secretary to support our busy paediatric private practice both remotely and in-person.

Full-Time Remote Work (Monday–Friday) Providing medical secretarial support from home Hours: 9:00 AM – 5:30 PM (30-minute unpaid lunch break) One Saturday a Month (Mandatory) Covering reception and administrative duties at our West End, London clinic Hours: 8:30 AM – 4:30 PM Bonus Additional pay reasonable travel expenses provided.
Prefer a day off in return? We’re flexible Additional Cover When Needed Providing occasional Saturday cover for team absences (with extra pay).
Important: If you’re unable to commit to Saturdays or don’t live within a reasonable distance of London, this role may not be suitable.
What You’ll Be Doing Patient Experience & Communication Creating a seamless, professional, and empathetic experience for patients and families.
Handling patient queries (clinical, administrative, and financial) via email and phone.
Supporting distressed or anxious patients with kindness and professionalism.
Medical Administration & Secretarial Duties Appointment Booking – Ensuring all patients are scheduled correctly with no gaps.
Email & Phone Management – Responding promptly and professionally.
Clinic Preparation – Making sure everything runs smoothly for each appointment.
Clinical Typing – Transcribing and proofreading dictated letters.
Records Management – Uploading, scanning, and retrieving patient notes securely.
Finance & Billing Processing invoices & insurance claims – Ensuring smooth transactions.
Taking patient payments – Handling self-pay transactions before appointments.
Advising on insurance matters – Assisting patients with billing queries.
Marketing & IT Support Representing the practice professionally in all interactions.
Managing patient data protection systems and IT-related admin tasks.
What We’re Looking For Medical secretarial experience (preferred, but not essential for the right candidate) Proficiency in Microsoft Office (Word, Outlook) – Essential.
Strong organisational skills & attention to detail – You keep everything running smoothly.
Excellent written and verbal communication skills – Essential.
Ability to work independently & problem-solve proactively – A must Friendly, professional, and patient-focused mindset – You genuinely care about helping people.
