Hours of work: Full time Monday to Friday 8.30-4.30 on site
Salary Fulltime: £25,000- £28,000
Reports to: Business Manager
Level of screening: Enhanced DBS

* Be an experienced, enthusiastic, and flexible Centre Administrator to join our thriving and vibrant Centre supporting different departments.
* Deliver customer-focused processing activities, maintain referral support, support with data collection and data input, and carry out general office administration tasks including H&S.
* Be an advocate for Hitchcox Group. Although you will not be working with children directly, you would be expected to communicate and mix with the children and their families within the learning environment.
* Manage your workload that may differ on a daily basis from answering emails to being the face of the company, dealing with customers professionally and with enthusiasm.
Main Duties & Accountabilities
* Responding to enquiries, acting as the first point of reference for visitors, parents, referral enquiries, and sales enquiries to include responding to calls and emails.
* Management of the centre’s diaries.
* Updating Centre records to include maintaining online records and paper files.
* Work with the Business Manager to oversee centre admissions and ensure admissions paperwork is completed.
* Liaise with Human Resources to ensure staff records are maintained, including records of absence.
* Participate in recruitment support in accordance with Safer Recruitment ensuring that paperwork is available and supports the onboarding process.
* Ensure that both staff and student files remain compliant and chase up key documents as and when required.
* Support with social media updates.
* Maintain and update other compliance records.
* Maintain the Centre register and keep records of attendance, reporting sickness to relevant authorities.
* Maintain the visitor’s logbook and ensure all visitors and contractors can be identified by wearing visitors’ badges.
* Comply with Centre policies and procedures regarding safeguarding and child protection.
* Some health and safety responsibilities including overseeing maintenance for the Centre.
* Manage and make purchases for site staff.
* Support the assistant head of centre in organising events and taster sessions.
* Any other duties deemed appropriate by the Headteacher.
* Coordinate appointments and visits.

* Complete purchasing for the Centre to include resources.
* Maintain records of Centre purchasing.

* An understanding of safeguarding, confidentiality, and the need for discretion.
* Excellent literacy and numerical skills.
* Understanding of budgets and ability to collate lists and information.
* The ability to work effectively under pressure.
* Impressive time management and prioritisation skills.
* Excellent attention to detail and accuracy.
* Excellent IT skills with in-depth knowledge of Microsoft packages.
* Previous experience is desirable.
* Strong interpersonal skills.
* Competence in shorthand (desirable).
* Maintains a professional and friendly demeanour.
* Excellent organisational skills.
* Ability to manage time efficiently.
* Ability to multi-task effectively.
* Ability to work well with a variety of students, visitors, and parents.
* Ability to remain polite and calm when dealing with challenging students or frustrated parents.
* Intermediate computer skills and knowledge of Microsoft programs.
* Ability to think creatively.
* Strong writing and editing abilities.
* Excellent telephone etiquette.
* Clear and effective communication skills.
* Ability to handle confidential student & staff records responsibly.
* Familiarity with basic office equipment.
