Job Description:
To support the Estate Agency Director and her branches to ensure a smooth running of all administrative and HR functions within the division whilst delivering exceptional customer service at all times upholding the company’s brand values and core beliefs.
Your Responsibilities
1. Issuing of weekly and monthly KPI statistics to branches
2. Collating all new starter documentation
3. Organising IT/ phone equipment and company cars for new starters
4. Completing SRB paperwork and processing contractual changes for MD sign off
5. Processing leaver documentation and ensuring company cars and equipment is returned
6. Managing the Director’s diary and emails and assisting with her 1:1/ expenses as requested
7. Responding to general staff and new starter queries
8. Monitoring complaints and ensuring they are dealt with within the allocated timeframes
9. Organising accommodation/ travel when required for the Director and staff
10. Responsible for ordering of prizes/ incentives
11. Collating receipts and invoices to complete credit card statement documentation for finance
12. Organising and supporting meetings/ award ceremonies
13. Liaising with HR/ Payroll/ Training/ Car Fleet on any queries and adhering to Payroll deadlines
14. Authorisation of Branch Manager absences on Carval on behalf of the Director
15. Recording all staff working bank holidays and submitting to HR
16. Collating monthly EA referrals from all branches and submitting to Payroll
17. Checking of monthly Raving Fan payments
18. Collating all divisional staff expenses for Director authorisation and submitting to expenses.
19. Supporting with Area and Director social media
20. Gain Director authorisation for invoices and car parking permits and send to accounts
21. Audits on BM checklists/ PCA’s/ Right Move/ Flink/ Observations/ 1:1’s
