JobSummary:
ParkingServices is seeking to recruit a full time Adjudication Officer towork within the Adjudication Section of ParkingServices.
The primarypurpose of this post is the provision of administrative andclerical support for the decriminalised Enforcement Process ofPenalty Charge Notices issued to both stationary and movingvehicles.
The postholdersresponsibilities will include the provision of correspondencerelating to the issue of Penalty Charge Notices appeals to LondonTribunal Environment and Traffic Adjudicators the process ofapplications to the County Court and dealing with bailiffenquiries.
KeyDuties/Accountabilities:
Understand andbe responsive to the needs of the customer offering technicaladvice and guidance both written and verbal and present a positiveand professional image to the customer at all times ensuring a highstandard of customerservice.
Providespecialist and procedural advice identifying any difficultiesvisitors/service users may have in making an enquiry or receivinginformation and resolving disputes and complaints as they occurthrough investigation and mediation ensuring suitable methods ofcommunication are monitored andprovided.
Maintain up todate knowledge to ensure effective operation of IT packages andsystems used within the service and to be responsible for the datainput/live loading collation upkeep and retrieval of Council wideIT based information in accordance with Councilprocedures.
Developimplement and maintain secure effective quality systems andprocedures to ensure service delivery meets customerneeds.
Registerapplications to the Council for the service area involving checkingfor validity and ensuring appropriate fees and charges areadministered and advising applicants where furtherinformation/monies is/arerequired.
Prepare andpresent/provide information on behalf of the service includingmanagement and statistical information for audit purposes as wellas providing reports to Committee Members and external partnerswhereappropriate.
Contact otherinternal/external parties as required including interrogation ofexternal databases seeking and providing specialist proceduraladvice relevant to the service area taking appropriate action andadministeringresponses.
Organise andattend regular team and service meetings contribute ideas and makerecommendations for improvements/changes in existing procedurespolicies and processes and actively contribute to service centreplan reviews.
Attend meetingswhich are sometimes of a confidential and sensitive nature takingminutes and producing accurate written records within agreedtimescales
To work as partof a project team and to assist in the delivery and completion ofwork projects supporting different work streams ensuring thesuccessful completion of the project.
Monitor andprocure goods and services within the Emarket place as required bythe service area and within the Councils financial regulations andresolve associated queries liaising with Corporate Procurementwhere needed.
Manage organiseand monitor a personal caseload to ensure targets are met within apersonal local and national context renegotiating targets/deadlinesas conflicting demandsnecessitate.
Respond quicklyand effectively to changing work demands and deadlines within amultidisciplinedcontext.
Assist managersin carrying out Health and Safety checks/audits and be responsiblefor ensuring that public meeting areas are maintained as a safe andwelcomingenvironment.
Carry out allaccountabilities in compliance with the Council s Policies andProcedures.
EssentialExperienceRequired:
Experience ofusing the 3sixty parking system isessential.
You will haveproven word processing and keyboard skills together with experiencein Administrative/clerical work preferably dealing with enquiriesand complaints from thepublic.
Experience ofprocedures and knowledge relating to the processing of PenaltyCharge Notices in line with legislation isdesirable.
