ThepostholderwillprovidecomprehensiveadministrativesupporttotheInstitute of Care Excellence (“the Institute”)Portfolios, working particularly closely with the Education team, helping to ensure the smooth delivery of educational and research programmes. Working with department leads, the post holder will ensure student placements, Institute training courses, development days and events are organised effectively and professionally.
The post holder will manage and regularly update complex spreadsheets, manage the student placement email inbox, and work closely with the Practice Development Lead and Practice Educators in managing student nurse placement capacity.They will work as part of the Institute's admin team to support the work of the institute, taking the lead on a specified portfolio of work and supporting the wider team as appropriate
1. Manage and update complex spreadsheets
2. Manage student placement inbox, respond to queries and escalate to Practice Development Lead / Practice Educators as required.
3. Manage bookings for SSSA training, including sending pre and post training materials to candidates and updating staff competency on HealthRoster.
4. Input student details once placement allocation is confirmed and amend when necessary.
5. Work closely with the Practice Development Lead (Undergraduate) and Practice Educators in managing placement capacity, and communicate with respective higher education institutions and clinical areas.
6. Manage and regularly update clinical areas contact list
7. Support the administration of Institute related courses and events, working closely with the Institute team leads and ensuring all booking systems are updated
8. Support the team to organise an identified portfolio of training courses, development days and conference events
9. Provide cover and support to other portfolios in absence of their Admin Lead to ensure continuity in service.
10. Book, plan and facilitate key meetings that are linked within the portfolios & events you are working in.
11. Ensure messages to the shared mailbox are responded to in a timely manner or cascaded to the relevant Faculty member to answer, providing a high quality communication service.

1. Manage and regularly update complex spreadsheets such as student concerns spreadsheet, student placement allocations, student placement planners, placement activities and tariff sheets, placement capacity and Standards for Student Supervision and Assessment (SSSA) records.
2. Manage student placement inbox, respond to queries and escalate queries to Practice Development Lead (Undergraduate) and Practice Educators as required.
3. Manage bookings for SSSA training, including sending pre and post training materials to candidates and updating staff competency on HealthRoster.
4. Input student details on HealthRoster once placement allocation is confirmed and amend when necessary.
5. Work closely with the Practice Development Lead (Undergraduate) and Practice Educators in managing placement capacity, including elective placement requests and communicate with respective higher education institutions (HEIs) and clinical areas.
6. Manage and regularly update clinical areas contact list, to ensure that student lists are sent to the appropriate members of staff.
7. Support the administration of Institute related courses and events by working closely with the Institute team leads and ensuring all booking systems are updated with session, staff, student and resources at all times.
8. Support the team to organise an identified portfolio of training courses, development days and conference events, as agreed with the Institute Office and Business Manager, planning well in advance to allow availability of team and faculty.
9. Provide cover and support to other portfolios in absence of their Admin Lead to ensure continuity in service.
10. Book, plan and facilitate key meetings that are linked within the portfolios & events you are working in. Take notes/actions at all meetings and ensure agenda, notes and any other documentation are distributed to all that attend in a timely manner.
11. Ensure messages to the shared mailbox are responded to in a timely manner or cascaded to the relevant Faculty member to answer, providing a high quality communication service.
