The Department requires an enthusiastic, self-motivated individual to assist in providing an efficient and cost-effective materials management service to wards and departments at University Hospitals, Coventry. Duties of this physically demanding role will include visiting areas, checking and agreeing stock levels and ordering and replenishing stocks. The individual will support all wards clinical and non-clinical as well as Receipts and Distribution. The handling and moving of roll cages across the organisation into wards areas is a key part of this role and the individual will need to be able to meet the physical and operational demands of the Trust. Provide the level of service required by the Trust from the Materials Management function. Implement and manage the materials management function at ward / department level, acting as a primary point of contact and attending ward / department meetings when required. Undertake weekly ward stock takes, capture requirements using electronic automatic data capture equipment and input data as required onto a computerized ordering system. Support the expansion of the Materials Management function across the remaining wards and departments within the Trust in accordance with the proposed Materials Management 'roll out' plan. Ensure stock items delivered are correct and that agreed stock levels are maintained. Continually develop and improve the relationships between the Procurement department and the ward staff. In accordance with department procedures, produce detailed spreadsheets for each materials management location and carry out periodic stock reviews. Develop a sound knowledge of products used on wards and departments. Produce stock usage reports in order to highlight purchasing trends and to achieve standardisation of products across the Trust. Plan regular meetings with Ward/Dept Managers to agree accurate stock levels and stock rationalisation and persuade Ward/Dept Managers to use the most cost-effective products. Report all savings achieved to the Head of Procurement. Liaise with Suppliers regarding delivery arrangements and returns including shortages discrepancies, damaged goods and plan delivery and return schedules. Provide training and supervision to new staff in the use of data capture systems and online ordering systems and assist in their induction and development. Monitor progress of new staff and report to the Materials Management Supervisor or Stock Management Co-ordinator. Produce reports and analyse data relating to stock levels, purchasing activity, highlight purchasing trends and achieve standardisation of products across the Trust. Assess problem situations and determine the most appropriate course of action for resolving issues on non-deliveries, lost or damaged goods and/or arranging returns. Act responsibly and respectfully when aiding with patients and visitors. Implement Departmental and Trust policies, procedures, make comments and suggestions that assist in the continual development and improvement of the Materials Management service.
