Role: HR People Team Associate

About the Role
The People Team Associate is an integral part of our team, responsible for ensuring the accuracy, efficiency, and continuous improvement of our people processes. This role requires someone who is proactive, detail-orientated, and driven to make a positive impact. You will be the go-to personal for managing key People Administrative tasks while also contributing to process enhancements that align with our mission-driven approach. Additionally, we are committed to supporting your professional development by offering for you to undertake your CIPD level 3.
Duties & Responsibilities
1. Colleague Record Management: Actively chase and update colleague records, ensuring all documents are accurately scanned, saved in relevant folders, and maintained in compliance with company policies and legal requirements.
2. Data Integrity and Compliance: Keep colleague files and HR systems up to date, including eligibility to work documents, personal data, and other essential records, ensuring full compliance with company standards and legal regulations.
3. Leaver Process Management: Manage and monitor the colleague exit process, ensuring all necessary steps are completed efficiently and sensitively.
4. Contractual Data Processing: Collate and process contractual data, liaising with relevant teams to ensure accuracy and timely execution.
5. Recognition Programs: Administer the Employee of the Month program by collating nominations, preparing certificates, and coordinating supporting documentation.
6. Reference and Background Checks: Handle incoming reference requests and process DBS and credit checks with attention to detail and confidentiality.
7. Mail Management: Oversee the handling of incoming and outgoing post, ensuring all correspondence is processed promptly and accurately.
8. Report Collation: Gather and prepare relevant company reports as requested by the People Team, contributing to data-driven decision-making.
9. System Support: Serve as the first point of contact for colleagues seeking advice on system processes, providing guidance and troubleshooting support as needed.
10. HR Project Support: Assist with administrative activities related to ad hoc HR projects, including TUPE, always looking for ways to improve efficiency and effectiveness.
11. Compliance Checks: Conduct regular compliance checks to ensure adherence to National Minimum Wage regulations, Working Time Regulations including the 48-hour opt-out, over-12 shifts, student visa restrictions, dormant employees, and contracted hours. Proactively raise with the relevant teams on any discrepancies or issues that arise.

Candidate Requirements
27. Strong organisational skills with exceptional attention to detail
28. Ability to manage multiple tasks and prioritise effectively in a fast-paced environment
29. Excellent communication skills, both written and verbal
30. Proactive problem solver with a drive for continuous improvement
31. Experience with HR systems and processes is preferred but not essential; a willingness to learn and adapt is essential
