You will work with specific global leadership team members to support diary management, team coordination and other support activities to ensure that the leadership team member is able to operate effectively and manage the team to deliver their business objectives. Your days will be varied due to the unique requirements of each team and activities may include conference organisation, travel arrangements, diary management, PO management and meeting preparation. Overall you will need to be extremely proactive, collaborative and a standout colleague to the team What will be your key deliverables? Maintain confidentiality and discretion regarding potentially sensitive information at all times Arranging international, multi destination travel, ensuring the Chief is entirely organised with visas, accommodation, transport and travel pack. Managing sophisticated diaries optimising time in the diary, proactive planning and prioritising, ensuring coordination with private commitments, rearranging the diary daily along with an understanding of the meetings. Ensuring regular 1:1s with the Chief, arranging a wide variety of meetings from internal (which may be across several different time zones) to external. Providing a meet and greet service when required and ensuring the Chief is well organised and prepared with the relevant papers, in plenty of time prior to any meetings. producing documents, briefing papers, reports and presentations. Keeping close attention to the deadlines and reminding members of the team when required to ensure all papers are completed time; Ensuring the Chief maintains regular contact with team, fellow leadership members, general pladis employees and external clients. Manage the processing of all invoices, expenses, and credit card statements, following approval by the Chief. Devising and maintaining office systems, including data management and filing; screening phone calls, enquiries and requests, and handling them when appropriate; Effective handling of all correspondence including high volume email (distributing, responding, gatekeeping) Ensure proactive building of good relationships with opposite number/s in internal and external partners Act as first point of contact for and manage general communication What do you need for this role? Very good knowledge of MS Office applications (Excel, Word, especially Power Point presentation); Excellent coordination, organisation, communication and presentation skills; Should be eager to learn, flexible on working hours, open-minded and team-work oriented; Superior verbal and written communication skills; Proven problem-solving abilities with challenging deadlines and priorities; Ability to anticipate change and react efficiently and expeditiously; Ability to remain calm and focused under pressure and work within strict deadlines Maturity to handle multiple tasks and confidential issues/material as well as communicate effectively with other directors and team members.
