An opportunity has arisen for a highly motivated individual to join our small team as an Administrator working in the Health Academy at Chorley Hospital.
We are looking for an enthusiastic and resourceful individual with a can-do approach to join our team. You must have excellent organisational and IT skills and possess good attention to detail. You should be able to demonstrate strong interpersonal and communication skills, with a positive customer service approach.
Main duties of the job
You will manage the day-to-day coordination of the Surgical Simulation programme for the Health Academy at Lancashire Teaching Hospitals NHS Foundation Trust, providing a high-quality and efficient administrative service that meets the needs of the delegates, course leads, and Health Academy.
Key to this role will be the effective planning and coordination of a range of Surgical Simulation events, from small local trainee upskilling to large Royal College franchised courses. You will be expected to provide customer service that is flexible and be able to resolve queries quickly whilst providing a solution-focused service at all times.
The role is based within Health Academy 3 at Chorley Hospital within the Events admin office alongside the dedicated Surgical Skills classroom. The role also involves liaising closely with the consultants, faculty, and the delegates as well as the Simulation and Resus Team lead and Clinical skill tutors.

Detailed job description and main responsibilities
* Assist with the compiling and maintenance of the course calendar.
* Utilise a SOP for each course and update/enhance as required.
* Set up links for course payments and deal with payments and refunds.
* Utilise and update forms for course bookings, registers, and course feedback. Update and improve as required.
* Create copies of course booklets, resources as stipulated in SOPs.
* Organise catering and refreshments for courses.
* Keep accurate and reportable records of all course activity, delegates, faculty, and income and expenditure.
* Advertising of courses will be circulated internally and externally and will be visible on the Health Academy social media platforms and websites.
* Ensure faculty receive course information including links to associates teaching materials and pre-course information in a timely manner.
* Shortfalls in delegate numbers will be identified in a timely manner and the Team will be made aware of delegate numbers as a matter of course.
* Raise orders using the Trust e-proc system.

Qualifications and Education
* Educated to GCSE level or equivalent with Grade C or above in English & Maths.
Knowledge and Experience
* Experience of working within the NHS.
* Excellent administrative skills with a knowledge of time-efficient admin systems such as electronic forms and QR codes.
* Evidence of introducing new administrative systems and processes to improve productivity.
* Competent in Microsoft Office applications such as Outlook, Excel, Word, MS Teams.
* Experience of working within a team as well as autonomously.
* Understanding of and a commitment to confidentiality.
* Experience of maintaining basic profit and loss spreadsheets.
* Experience of working with education or organising events.
* Knowledge of business generation and marketing processes.
* Experience of using social media to promote business activity/course events.
* Knowledge of medical terminology.
