Job Description: SUA BID Projects Coordinator

An exciting opportunity for an experienced individual to work for a BID that is responsible for delivering support to the Town Businesses.
Overview
The Project Coordinator role is to liaise and build relationships with businesses in the Business Improvement District (BID) area. The objective is to ensure all BID levy-paying businesses know the BID's benefits and who to contact if they have concerns. The business support officer will work alongside the BID Manager to support BID businesses, coordinate BID Projects, engage the consumer, increase footfall, organize events and initiate fun and digital chatter to encourage loyalty for our diverse and ever-changing Town.
Role Expectations
The Projects Co-ordinator needs to be a dynamic, enthusiastic, lead project officer who has strong people skills and flair for creative project support.
The role requires a motivated individual, able to work under pressure and to tight deadlines with an interest in place management, project management and a talent for business liaison. It is a busy, exciting, fast-moving environment so they must be both adaptable and able to learn on the job often in high pressure situations and sometimes with limited technical support.
As the Projects Co-ordinator you will support the Stratford Upon Avon BID Manager by developing and maintaining the BID’s relationships with local businesses, organizing events, work with statutory providers, funding bodies and other external bodies.
The role includes frequent interaction with the public and levy payers and, most importantly, provides support to the BID Manager on the implementation of all the project areas and events in the BID Business Plan.
You will need to use your proven organization skills, excellent verbal and written communication skills, and procedural experience to ensure the BID can evidence a record of successful performance when reporting back to our levy payers and Board.

HOURS OF WORK
37.5 hours per week excluding lunch. Working patterns will need to be flexible during BID events agreed in line with the requirements of specific projects to include some weekend and out of hours working.
PERIOD OF CONTRACT/NOTICE
Initial contract until 31st March 2029
PROBATION PERIOD
Employment will be initially a six-month probationary period. Should either party wish to terminate the employment during this period, then one week's notice will be required on either side, except for summary termination for gross misconduct.
KEY RESPONSIBILITIES
* Support the effective delivery of all BID projects as set out in the BID Business Plan as directed by the BID Manager.
* Ensure that the database of BID levy payers is constantly updated and improved.
* Work with the BID Manager on all projects, taking ownership of certain projects and events as directed.
* Support and manage projects on behalf of the BID.
* Ensure that the BID adds value to achieving more for Stratford Upon Avon through joint working than its partners could achieve independently.
* Act as an ambassador for Stratford Upon Avon and Stratford Upon Avon BID to ensure the town and its ambitions are known.
* Establish, manage, and maintain clear concise communication between all external partners, internal BID Team, Board and stakeholders.
* Proactively seek additional opportunities for the Stratford Upon Avon BID be it project ideas, development options, cost saving opportunities or new income streams.
* Visit businesses regularly to update them on BID matters, benefits, and projects.
* Engage regularly with levy payers in face to face or online meetings, understanding their needs and issues and being a listening ear.
* Collect and collate – levy payers sharing information like job vacancies, event and activity information.
* Ensure we are following all BID businesses on social media, comment and support their activities.
* Keep Facebook, Twitter and Instagram updated, with original posts and re-posting.
* Stay abreast and collate BID data, i.e new refurbishments, planning applications, town metrics and what is happening in the town.
* Attend meetings, provide support, and produce minutes or reports to and for the BID Manager, Board or levy payers when required.
* Support the BID in the quality delivery of BID services at street level collecting feedback and suggestions from levy payers and the local community.
* Provide a positive, friendly, welcoming, and visible presence in the BID area improving the visitor experience and visibility of the BID in the eyes of the levy payer.
* Ensure all BID activities are conducted in a proper and transparent manner.
KEY SKILLS REQUIRED
Essential
* Experience of providing face-to-face customer service and a commitment to delivering a consistently high standard of service to build positive relationships with BID businesses.
* Experience of organising and managing town centre events.
* A can-do attitude, enthusiastic, keen and quick to learn with an attention to detail.
* Ability to apply critical thinking and a common-sense approach when situations arise but possess sound judgement to refer up where necessary.
* Excellent communication skills to deal with one-off enquiries and complaints and resolve any conflicts appropriately in a measured, friendly, and polite manner in all circumstances.
* Good at building positive working relationships.
* Well organised, punctual and reliable.
* Ability to work independently.
* Good interpersonal skills to establish and maintain effective working relations and customer service skills.
* Flexible approach to changing priorities and requirements with the ability to prioritise.
* Willingness to work flexibly including some out of core hours working where necessary.
* Proficiency with Microsoft Office (Word, Excel, Outlook and Powerpoint), databases/CRM systems and social media platforms.
Desirable
* Knowledge and experience of working within BIDs.
* Knowledge and experience of the issues affecting town centres including retail, hospitality, leisure, office, public sectors.
* Project Management Experience.
* Experience of town centre management and place activation.
* Good knowledge and passionate about Stratford-upon-Avon.

SALARY
£24,000-£28,000 per year

You will automatically be enrolled in a Company Pension scheme following successful completion of your probation period. If you do not wish to join the Scheme you must make a formal declaration stating you want to opt-out.
