We have an exciting opportunity for a Medical Secretarial Supervisor to join our management team.
The post
The post holder will work within the Medical Secretarial Management Team and have responsibility for the day to day line management of the teams providing a secretarial service to across the Acute Sector. Whilst mainly based at the Foresterhill site, we have also have staff based at Woodend Hospital and in the community in Aberdeen city and shire, and the post holder will need to travel to staff they line manage in these areas on a routine basis. The post holder will support with staff recruitment, training, and retention.
The post holder has delegated responsibility for waiting list management within their specialties, monitoring compliance with the NHS Grampian Access Policy and proposing corrective action where necessary. They will also be required to monitor compliance with theatre utilisation, data quality, and typing turnaround targets. They will also be a super user for the Dragon Medical Workflow system.
Working with the Assistant Secretarial Service Manager and wider Management Team the post holder will support service improvement work, suggesting areas for improvement, implementing these, and monitoring/adjusting as appropriate. They will also provide cover for colleagues within the team during periods of leave.
What we love to see
The ideal candidate should have recent NHS Medical Secretarial experience. They should have an in depth understanding of and experience of working with the NHS Grampian Access Policy. Candidates must have experience in using the inpatient modules of the TrakCare system and Dragon Medical Workflow as they will be super users of and provide training in these systems.
Experience of line management of staff would be advantageous but not essential. Due to the wide geographical location of staff, a driving license with access to a car would be preferred, however applications from candidates with the ability to travel without a car will be considered.

The Medical Secretarial Service provides secretarial and administration support to medical, surgical, and clinical teams across the acute sector of NHS Grampian. The team consists of Medical Secretaries, Audio Typists, Administrators, Filing Clerks, Receptionists, Trainers, PAs, and the Management Team.
There are opportunities for expansion and progression within the Medical Secretarial Service, including expanding your knowledge in to various other medical, surgical, and clinical services, or over time developing in to higher management roles.
