About the role
In your role as Assistant Facilities Manager you will make a meaningful and valued contribution from the outset. This role will provide a great opportunity to ensure the smooth operation of building services, maintenance, and workplace management.
This role involves overseeing contractors, ensuring compliance with health and safety regulations, and maintaining high standards for the working environment.
What you will be doing
As a trusted part of the Finance team, you will be responsible for:
* Manage direct reports and operational colleagues, ensuring efficient resource allocation and quality control.
* Conduct regular 1:1 meetings with staff for performance feedback and identify training/development needs.
* Assist in managing daily operations, ensuring services like HVAC, lighting, plumbing, and security run efficiently.
* Coordinate with vendors and contractors for repairs, servicing, and inspections.
* Conduct building inspections to identify maintenance issues and ensure compliance with regulations.
* Manage CAFM system and lead helpdesk delivery.
* Oversee access and physical security processes for the office.
* Ensure compliance with health and safety regulations, including fire safety and emergency procedures.
* Support risk assessments, audits, and manage DSE assessments and training.
* Assist with space planning, desk allocation, and support hybrid working models.
* Coordinate office moves and changes.
* Assist in managing service contracts, monitoring contractor performance, and ensuring value for money.
* Raise and manage POs to ensure cost management.
* Support the implementation of emergency response plans and business continuity measures.
* Coordinate fire drills and emergency preparedness training.
About you

To be successful in the role you will have:
* Experience in facilities management, workplace services, or a related field.
* Previous line management experience with ability to lead and take ownership and responsibility.
* Excellent knowledge of health & safety regulations and compliance and their applicability to facilities management.
* Excellent communication and stakeholder management skills.
* Excellent knowledge and capability in report writing and analysing performance MI.
* Experience in controlling costs with procurement and finance departments.
* Experience in the delivery of office related capital projects including M&E.
* Self-motivated and highly professional.
* Strong organisational and multitasking abilities.
* Knowledge of Facilities management software.
* Proficiency in Microsoft Office and facilities management software.
