Position Description Due to continued growth of the Cloud Services Business Unit an excellent opportunity has arisen for an enthusiastic Administrator to join the team, supporting the increased workload. The role includes a wide range of responsibilities supporting the entire Cloud Services Team which includes the General Manager, Applications, Sales, Engineering and Contracts. Whilst also ensuring our customers receive an excellent level of customer service, adhering to the 80/20 business strategy. Key Responsibilities Work closely with customers and Airedale staff, both internally and externally Coordinate Sales team travel, hotel bookings etc during business trips Supporting inward and foreign sales visits with travel arrangements, logistics, etc. Factory Acceptance Test (FAT) - Organise, (hotels, food, book restaurants travel etc), provide customer communication and help facilitate the FAT on the day. Maintain marketing items inventory and keep a log of all items. Coordinate the shipping/delivery of display banners, brochures that are required for events. Update the Contracts Work list for all Business Units ahead of the weekly meeting and update it during the meeting, including adding in key dates from Medius. Prepare and draft quotations for site work variations and file them. Compile a tracker for each job and monitor the status of payment, working alongside the Project Manager. Sense check quotations prior to issuing to the customer for consistency and compile small quotations for items such as on site variations. Log onto individual project document control platforms once a week (ie Procore, Aconex etc) for any new relevant info that’s been uploaded and update the job files. Customer CPD follow-ups/issuing of certificates. Team organisation Producing risk and method statements for site works alongside the Project Managers General assistance with the day to day operation of the Business Unit Running Medius reports Assist in the updating of systems with regards flow of work in the department Required Education & Qualifications Strong administration skills with a high level of accuracy and attention to detail Experience of operating in a busy environment Ability to multi-task and prioritise tasks accordingly Strong communication skills including an excellent telephone manner with the ability to gain the correct information from the customer, internal staff Competent PC skills (SAP and Microsoft Office) Strong teamwork skills and ability to operate in a large team Proactive and enthusiastic personality LI-TS1
