Supply Chain Administrator

Overview:
This role provides essential administrative support to the Supply Chain function, focusing on purchasing activities and ensuring smooth supply operations. The ideal candidate is tenacious, detail-oriented, and committed to resolving issues promptly. The position involves tasks such as updating SAP records, managing purchase orders, addressing outstanding invoices, and supporting supply chain process improvements.
Key Responsibilities:
1. Provide administrative support to the Supply Chain function to ensure the efficient supply of goods in alignment with business strategy and operational requirements (cost, lead-time, quality, and on-time delivery).
2. Request order confirmations from suppliers and ensure compliance with company requirements and terms.
3. Manage purchase orders, including due and overdue orders, to maintain accurate delivery dates and expedite shipments as necessary.
4. Address supply shortages by communicating with suppliers and providing regular updates to internal stakeholders.
5. Support operational and project purchasing activities to maintain inventory and supply chain flow.
6. Update and maintain SAP system data, ensuring records are accurate and up-to-date.
7. Handle outstanding invoices and identify issues related to poor quality or discrepancies within the system, taking action to resolve these with the relevant parties.
8. Uphold safe working practices for self and others in accordance with company health and safety policies.
Skills and Qualifications:
1. Administrative Skills: Strong administrative background with a focus on accuracy, organization, and attention to detail.
2. Communication and Coordination: Excellent communication skills, both verbal and written, with the ability to collaborate effectively with internal and external stakeholders.
3. IT Proficiency: Competency in Microsoft Office, particularly Excel (intermediate level), and familiarity with SAP or similar MRP systems (training will be provided if necessary).
4. Problem-Solving Abilities: Proactive approach to identifying and resolving issues.
5. Teamwork: Cooperative mindset with strong teamwork skills, able to support colleagues and contribute to team objectives.
Desirable Experience and Qualifications:
1. Previous experience in supply chain administration, purchasing, or a similar role is beneficial but not essential.
2. Knowledge of SAP MM (Materials Management) or equivalent MRP system is preferred.
3. General education to A-Level standard or equivalent is advantageous.
