Client Administrator – Client Administration Team

We are looking to hire a Client Administrator to join our Client Administration team on a permanent basis. The primary focus of this role will be to take ownership of the day-to-day processing of compliance and billing administration of a variety of tasks on client matters. This experience is key for this role. The Client Administration team assists with matters across all of our legal departments. Official working hours are 8:30 am – 6:30 pm on a shift basis, working 7 hours a day (1 hour for lunch). However, the team generally works 9:30 am – 5:30 pm, which currently works well. This role will be based at our South Quay office in addition to our offices in Baker Street. Legal sector experience is ideal, but we will also consider candidates with experience from other partnership/professional services environments (e.g., accountancy firms).
Some of the main responsibilities for this role include:
* Manage the Client Inception Module (CIM), liaising with Executive Assistants, Legal Secretaries, and fee earners as necessary, ensuring all activities and duties adhere to risk and compliance requirements, including:
* Completing the CIM in Prescient, gathering initial documents according to the Compliance Team’s guidance documents, and liaising with the Compliance Team and fee-earning team to complete the process.
* Sending a conflict check email to the designated distribution group when necessary and ensuring that the results are reviewed by the matter Associate and saved to the matter file.
* Supporting case-related work, completing tasks for matters/files (e.g., engagement letters) and maintaining client & matter data within the case and practice management system.
* Producing first draft engagement letters and liaising with the Executive Assistants, Legal Secretaries, and fee earners as necessary to ensure the letter is completed and saved to the appropriate area.
* Organising and maintaining soft copy files relating to the areas of work you will be responsible for.
* Processing bills, including:
o Running narratives from the system and giving them to the Executive Assistant or Legal Secretary.
o Attending internal meetings with the Executive Assistant.
o Printing WIP reports and billing guides for the team.
o Preparing and monitoring the processing of bills.
o Submitting credit notes, transfers, and write-offs.
o Closing relevant files from the WIP list.
o Preparing file closure forms.
o Working closely with the accounts team, being part of any change programme as and when related billing processes change.
o Liaising with relevant departments regarding billing, following up bills as necessary, KYC, file opening, and payments.
