Job summary
We have an opportunity for two enthusiastic Administration Assistants to come and join our team at New Forest Enterprise Centre in Totton.
The position will include providing administration support to the outpatient services in Community Hospitals across South West Hampshire. You will provide an efficient service to all our patients and the duties will include booking appointments for patients, checking patients in when they arrive to clinic, scanning of documents, dealing with all post and telephone calls as well as providing an excellent customer service experience for all patients, clinicians, staff, and other service users.
This role will include the need to cover our reception desks at Hythe, Lymington, Fordingbridge and Romsey Hospital. As well as providing support on reception desks as needed by other services. This role will be based at New Forest Enterprise Centre, with reception cover on a rota basis at the above sites.
We are looking for someone who enjoys being part of a team, whilst working under minimal supervision, are self-motivated and flexible with a good work ethic.

Main duties of the job
1.Provide an excellent customer service experience for all patients and service users at all times.
provide reception services to Southern Health NHSFT outpatient clinics at Hythe Hospital, Romsey Hospital, Lymington Hospital and Fordingbridge Hospital on a rota basis. There will be the requirement to occasionally support other sites across the Trust depending on service need.
3.Prepare patient case notes for patient appointments.
all diagnostic information required for patients' appointments is available using the Electronic Radiology tracking systems and Electronic Pathology systems.
book hospital appointments for patients attending Outpatient Clinics using Electronic Patient Record System (EPR) and the e-Referral IT service.
EPR with accurate data to support effective management information and meet recording standards.
7.Undertake general admin support including scanning, filing, and opening of post that arrives on site.
8.Provide management information to report reasons for appointment delays and clinic cancellations.
9.Highest standard of data quality input is required at all times to capture accurate information that enables strategic analysis of the overall activity of the Trust.

1. Educated to GCSE/O'Level standard or equivalent Maths and English to grade C and above.
2. Word-processing qualification (ECDL or similar)
