The Role:
We are seeking a dynamic and enthusiastic Sales Administration and Receptionist to join our team. This dual role is crucial in ensuring the smooth operation of our sales department and providing a positive and professional experience for all visitors and callers. You will be the first point of contact for our company and will play a vital role in supporting our sales team to achieve their targets.
Key Responsibilities:
Reception Duties:
1. Be the welcoming face and voice of Monocon, greeting visitors and answering telephone calls in a professional and friendly manner.
2. Manage the reception area, ensuring it is tidy and presentable at all times.
3. Direct visitors to the appropriate person or department.
4. Manage incoming and outgoing mail, couriers, and deliveries.
5. Maintain visitor logs and security procedures.
6. Assist with booking meeting rooms and arranging refreshments.
7. General administrative tasks such as photocopying, scanning, and filing.
Sales Administration Duties:
1. Provide comprehensive administrative support to the sales team.
2. Process sales orders accurately and efficiently.
3. Maintain and update customer databases.
4. Prepare sales-related documents, such as quotations, proposals, and reports.
5. Assist with the preparation of sales presentations and marketing materials.
6. Track sales performance data and provide reports as required.
7. Coordinate sales team meetings and take minutes.
8. Manage and order office supplies for the sales team.
9. Liaise with other departments (e.g., finance, marketing, operations) to ensure smooth sales processes.
10. Handle sales-related enquiries and provide excellent customer service.
11. Assist with other ad-hoc administrative tasks as required.
Skills and Experience:
1. Proven experience in a reception or administrative role, ideally with some exposure to sales administration.
2. Excellent communication skills, both written and verbal, with a professional and friendly telephone manner.
3. Strong organisational and time-management skills, with the ability to prioritise tasks and meet deadlines.
4. High level of accuracy and attention to detail.
5. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
6. Ability to work independently and as part of a team.
7. A proactive and can-do attitude with a willingness to learn.
8. Excellent problem-solving skills.
9. A positive and professional attitude.
