Role Purpose- This position will support with reactive store maintenance and facilities in Europe, as well as supporting the wider Store Planning team with day-to-day tasks and administrative tasks. This role is a full-time position, based in London. Key responsibilities of the role include, but are not limited to – Reactive & Scheduled Maintenance Support reactive maintenance programme across European doors, acting as the one of the main contact points for locations to lodge and query requests. Support with scheduled maintenance in-stores; o HVAC servicing, deep cleaning, etc. o Support with creating bespoke upkeep plans for each store Work with external contractors and local retail teams on intelligent and aesthetically aligned solutions for resolving maintenance issues that arise Support and coordinate planned build improvements in stores, in response to retail and H&S feedback and requests Negotiate competitive pricing with contractors and consultants Regular location visits, to quality control and advise on any required works Minor Works Be involved in the annual planning process of works selection, providing insights Project manage selected minor works, from concept through to completion Complete all works in line with budget and timing expectations Negotiate competitive pricing with contractors and consultants Store Closures Support with store closures in the Europe Zone o Liaise with Property team on closure scope o Tender out closure costs o Execute closure and associated demolition works Managing reuse FF&E database Associated responsibilities with closures; o Reupholster furniture and make good joinery items for reuse Budgeting & Finance Accurately track all maintenance spending & costs Prepare OPEX and CAPEX monthly reports for review Manage NetSuite uploads and approvals associated with store maintenance Consistently review budgets with the Store Design and Maintenance Coordinator to ensure spending is adhering to business financial priorities Administration Support General support for Store Planning Team Complete monthly reports and other presentations GENERAL OFFICE ETIQUETTE Team Involvement and Support Assist in maintaining harmonious workplace relationships by openly and effectively communicating with other employees Be an active team member by demonstrating a willingness to help and support others Work in a cooperative manner with all other employees Adhere to the Equal Opportunity policy of the company Health and Safety Ensure that full care is taken in the performance of all duties in order to protect the health and safety of oneself, fellow employees, visitors and consultants Adhere to the Occupational Health and Safety policy of the company Who we are looking for- Passion and interest in retail store design and Architecture Organised, proactive and detail-oriented Solution-oriented approach Knowledge and interest in project management & financial tracking Keen interest in the design, materials, build and construction environment Strong written and verbal communication Bi-lingual proficiency in English and French, any other European language is a plus Good commands with Microsoft Office Suite and Adobe Suite What's on offer- We take a holistic approach to employment, promoting professional development, career growth, employee wellbeing initiatives and encouraging deep connections with the local community through the Aesop Foundation, volunteering, and matched giving programs.
