We’re looking for an experienced Personal Assistant to support the Founders of Conductr, ensuring their time, priorities, and operations run seamlessly. This role is built on trust, integrity, and discretion - you’ll be the right hand to two visionary leaders, managing schedules, communications, and key business priorities with complete confidence. Responsibilities:
Executive Support
1. Manage complex calendars across multiple time zones, scheduling meetings and ensuring seamless coordination.
2. Act as the gatekeeper for internal and external requests, prioritizing and streamlining communications.
3. Prepare agendas, briefings, and key documents for meetings, ensuring Founders are fully prepped.
4. Take meeting minutes, track action points, and follow up to ensure completion.
5. Handle confidential and sensitive information with the highest level of discretion.
Operational & Administrative Support
1. Oversee travel arrangements, including flights, accommodation, itineraries, and logistics.
2. Manage expenses, invoices, and financial administration in collaboration with finance.
3. Support event planning, including offsites, key stakeholder meetings, and industry events.
4. Assist with personal administrative tasks to ensure work-life balance for the Founders.
Stakeholder & Communication Management
1. Act as the primary point of contact for internal teams, clients, investors, and external partners.
2. Draft and manage emails, correspondence, and presentations on behalf of the Founders.
3. Represent the Founders professionally in meetings and engagements when required.
Project & Business Support
1. Support on key projects, ensuring deadlines are met and deliverables are aligned with strategic priorities.
2. Conduct research and compile insights to aid decision-making.
3. Liaise with the wider leadership team to ensure alignment on priorities and business objectives.
You should have:
1. Proven experience as a Personal Assistant, EA, or Chief of Staff to C-suite executives or founders.
2. Exceptional organisational skills with the ability to manage multiple priorities in a fast-paced environment.
3. Proactive problem-solver with a strong ability to anticipate needs and take initiative.
4. High emotional intelligence (EQ) and strong communication skills, able to engage with senior stakeholders.
5. Tech-savvy, with experience using tools like Google Workspace, Slack, Notion, Rippling, and project management platforms.
6. Discretion and trustworthiness, with experience handling confidential information.
7. A background in a high-growth, start-up, or creative/tech-driven environment is a plus.
