Job Title: Regional Debt Support Administrator
Reporting to: Regional Director
Location: Hybrid - 3 to 4 days per week working from home with 1 to 2 days per week working from a practice across the region (with travel expensed)
Salary: Up to £35,000 Depending on Experience
Type: Full-time (37.5 hours per week), Permanent

Summary of Role:
To perform specifically the administrative duties of the debt collection process, as directed by the regional director. The role will be responsible for the active chasing of debt on behalf of practices throughout various stages of the debt process.
Key Responsibilities and Tasks:
People
* Be a key member of the region contributing significant effort to ensure the team attains its debt targets by providing an efficient, collaborative service.
* Keep up to date by reading internal and external communications.
* Ensure key understanding of the PMS system at all times.
* Ensure strong knowledge of the Companion Animal Debt policy.
* Attend team/practice meetings as directed by your regional director.
* Share knowledge, information, and experience freely with others & support debt prevention training in practice.
* Work professionally with all members of the region, practice, and central colleagues.
* Participate as a team player by being involved in team activities and being sensitive to others' needs.
* Proactively request support when required from the Group Credit Controller.
Clinical
* Gain basic knowledge of how a veterinary practice runs to assist in chasing debt.
* Work with clinical colleagues professionally and as required.
Client
* Maintain an open and approachable manner at all times.
* Ensure accurate completion of all administrative tasks including the processing of payments and maintenance of clients' records.
* Process all documentation as per practice protocol promptly and efficiently.
* Ensure all communications with clients and practice are within protocol and performed professionally, specifically following the CA debt policy and adopting standard templates for chasing debt from clients.
* Proactively take action to ensure the debt position within the Practice is fully controlled and that Debt Recovery Protocols are being followed to achieve targets, including Debt Tagging and managing unallocated payments.
Commercial
* Follow CVS practice protocols and policies to provide a safe and legal environment.
* Use initiative to work through tasks methodically, planning and prioritizing them on a day-to-day basis.
* Achieve Key KPIs in relation to debt chasing set by both RD's and the wider company.
* Reduce 90-day debt levels within your area of responsibility.
Experience and Key Skills Required:
* Computer skills including Microsoft Excel and PowerPoint.

* Excellent administration skills with strong attention to detail and accuracy.
* Strong customer service orientation & communication skills (internal & external customers/clients).
* Ability to mentor, coach, engage, and train practice teams on the client debt chasing process.
* Takes initiative, adopts a flexible and proactive approach, and has a drive to support the debt control process across the region.
* Comfortable working independently and within teams, often working towards tight deadlines with multiple priorities in a fast-paced environment.
* Highly organized with strong organizational, planning, and administrative skills with the ability to manage multiple tasks simultaneously.
* Able to analyze a wide range of information and data.
