Job Title: Administrative Assistant Council: The Council for Global Mission and the Council for Mission in Ireland Responsible to: The Office Supervisor and in his/her absence, to the Global Mission Secretary Salary Grade: Grade A2 (£11.84 - £12.59 per hour) Hours: 32.5 hours per week (Negotiable between 19.5 32.5 hours per week and open to negotiation on working pattern with successful applicant) MAIN FUNCTION OF JOB To be an active member of the General Assemblys staff team, contributing to the effective administration of its functions. To provide administrative support to the Council Secretaries, executive staff and Conveners for the delivery of the agreed work programme for the Council for Global Mission and Council for Mission in Ireland in a manner in keeping with the Christian ethos of the Presbyterian Church in Ireland. RESPONSIBILITIES AND DUTIES Administrative tasks To carry out a range of administrative and secretarial duties, and provide practical support as required for those committees, meetings, conference and events as designated by the Council Secretaries and/or the Mission Department Office Supervisor. To assist with Mission Department publications including writing and editing of material, assisting with Digital Dispatches, compiling Power Points and updating information on the PCI website. To assist with the processing of deputation speaking engagements for Mission Department personnel and staff. To assist with travel arrangements including booking flights on-line and with Travel Agents. To assist in the provision of administrative support for the member care of Mission Workers and Deaconesses, both overseas and in Ireland,as required. General To provide a first point of telephone contact and reception for callers and visitors to the Mission Department and to forward e-mails received by the department. To process outgoing mail including distribution of PCI Herald magazine to CGM/CMI personnel and partner churches. To share in providing hospitality for visitors, meetings, and events when required. To undertake such training as may be required for the efficient performance of the above duties. To contribute to the overall organisational effectiveness and to perform any other duties as deemed appropriate by the Secretaries of the Council for Global Mission and the Council for Mission in Ireland in line with the requirements of the General Assembly or the Clerk of the General Assembly CRITERIA 1. Qualifications and Knowledge Essential Educated to GCSE level with at least Grade C (Grades A-C) in English Language and Maths or equivalent. OCR (RSA) Stage II in Word Processing (Parts 1 & 2) or equivalent in qualification or competence. Desirable Knowledge of the work of the Presbyterian Church in Ireland Knowledge of Desk Top Publishing Knowledge of Mail Chimp 2. Relevant Experience Essential At least one years office experience in a secretarial/administrative role. Experience of using Microsoft Office Suite or equivalent for at least one year Desirable Experience of Desk Top Publishing Experience of Information-giving Experience of drafting and proof-reading articles for publication Experience of uploading information to website and social media Experience of organising overseas travel and travel insurance in a work setting Experience of providing hospitality 3.
