Job Purpose
An exciting opportunity has arisen for an Executive Assistant to join Radius. This role will be supporting the Chief Financial Officer and the Group General Counsel and Company Secretary. With working hours of Monday to Friday, 8:30 am – 5:00 pm.
Your responsibilities day to day will be…
1. Arranging travel, visas, and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations.
2. Screening phone calls, enquiries, and requests, and handling them when appropriate.
3. Organising and maintaining diaries and making appointments.
4. Dealing with incoming email and post, often corresponding on behalf of the Director.
5. Carrying out background research and presenting findings.
6. Producing documents, briefing papers, reports, and presentations.
7. •Assist in the maintenance of the Radius Group Presentation for stakeholder which includes updating financial & business metrics.
8. Organising internal and external meetings and conferences, liaising with all participants in a professional and timely manner and ensuring the manager is well prepared for meetings. Organising venues and working lunches as required.
9. Handle all confidential documents and maintain strict confidentiality throughout.
10. To be responsible for monitoring expenses, requisitions, and invoices
11. To maintain corporate branded organisation charts across the Group, liaising with HR monthly to maintain current information.
12. Maintain list of legal priorities for all areas of the business, attending weekly/monthly update meetings and updating the actions as required.
13. Maintain a monthly record of the Group CFO and Group General Counsel’s business travel, calculating mileage for expense purposes.
14. Review and approve annual leave requests.
15. Process approvals in various systems at the direction of Group CFO / Group General Counsel
16. Supporting the General Counsel and broader company secretarial team on company secretarial/governance activity.
17. Supporting the business and legal team access to and use of Summize, the Radius contract database.
18. Managing and invoicing on behalf of the Group General Counsel’s functional areas, including the onboarding of new suppliers.
What do we expect of you?
19. Advanced knowledge of Microsoft Office – Word, Outlook, Excel, PowerPoint.
20. Experience of diary management and travel planning.
21. Excellent communication skills (both verbal/written)
22. Ability to meet deadlines.
23. Experience of working at an Executive Team level is preferable but not essential.
24. Knowledge of office and administrative procedures and processes.
25. Ability to draft clear and focused emails, letters, and reports.
26. Be highly self-motivated.
27. Accustomed to working in a fast-paced environment.
28. Extremely well organised and ability to manage a complex and changing workload.
29. Ability to demonstrate flexibility and resilience.
