To provide comprehensive administration support to the Monklands Replacement Project (MRP).
Additional Information Specific to the Role
The following is not exhaustive, but reflects the keys activities and responsibilities of role:
1. To provide comprehensive and skilled administration support to the Monklands Replacement Project.
2. To provide administration support to a range of project governance groups including the scheduling of meetings, preparation, collation and distribution of agenda’s/papers, formal recording of attendees and minutes, preparation and maintenance of action trackers etc.
3. To co-ordinate and schedule a high volume of project related meetings, reviews and workshops, by liaising with a wide range of internal and external stakeholders.
4. The ability to deal with competing priorities and a demanding workload as the postholder will receive work from more than one source.
5. To support the scheduling, booking and arranging of travel and/or accommodation (where applicable) for the project team and/or wider stakeholders for project related conference events.
6. To provide administrative support to project team members in the preparation activities required for presenting at conferences/events on behalf of the project.
7. To assist in monitoring and managing the MRP mailbox in line with agreed process.
8. Support the project in communication with staff, patients and the public, including social media in line with the agreed project communication plan or process.

What we'll need you to bring
9. Professional qualification i.e. HNC in a relevant discipline (Business Admin/Secretarial Studies/Public Administration) or equivalent previous experience in a secretarial role (ie experience as a department/personal secretary)
10. Well-developed interpersonal skills in customer care.
11. Excellent communication skills.
12. Good organisational and planning skills.
13. Understanding of a range of procedures and processes.
14. Ability to prioritise work and work on own initiative whilst under pressure.
15. Proficient I.T. skills, which include a working knowledge of Microsoft packages.
16. Ensuring confidentiality, diplomacy and discretion are maintained at all times.

Fixed Term or Secondment for 12 months

Please note this is a fixed term post for 12 months. Where a post only has temporary funding and an existing member of NHS Lanarkshire staff wishes to apply, this will be treated as a secondment. The employee MUST already have written agreement from their line manager to be released on a secondment before applying for the post.
Location and Working Pattern
This role will be based in Monklands Replacement Project department within University Hospital Monklands.
The working pattern for this role: Monday to Friday
