BSWN have an excellent new opportunity for a Finance Administrator to join our growing team.
You will play a crucial role in providing effective financial and administrative support to the Finance Manager and the operational team, enabling them to focus on their core competencies. This role is essential in maintaining accurate financial records, ensuring compliance with charity regulations, and supporting the wider team with budgeting and financial planning.
You should have experience in finance and accounting, proficiency in online accountancy software (ideally Quickbooks), VAT accounting.
Key Responsibilities
1. Accurately record all income and expenses, ensuring timely data entry.
2. Maintain Quickbooks and up-to-date financial records.
3. Process and manage the credit card and the petty cash accounts.
4. Support Finance Manager with completing regular bank reconciliations to ensure alignment between internal records and bank statements.
5. Support Finance Manager with preparing monthly and quarterly financial reports, including Profit & Loss statements, Balance Sheets and Cash Flow statements reporting to the CEO, Treasurer and Finance Sub-committee.
6. Assist in financial analysis to support decision-making.
7. Track and categorise expenses for accurate financial reporting.
8. Assist the Finance Manager and auditors with the preparation of annual accounts.
9. Process invoices and payments, bills and expenses, ensuring timely settlements.
10. Monitor accounts receivable, following up on outstanding payments.
11. Ensure adherence to financial policies for expense approvals and reimbursements.
12. Be the first point of contact for financial updates on donations.
13. Process and manage donations with PayPal.
14. Support Finance Manager with maintaining financial systems, including Quickbooks accounting software.
15. Support Finance Manager with maintaining robust financial controls and recommend process improvements to enhance efficiency and compliance.
16. Provide budgeting and forecasting support with the CEO and Finance Committee.
Required Skills and Knowledge
1. Experience in a finance or accounting role.
2. Experience with financial software and accounting systems.
3. Understanding of financial principles, practices, and regulations.
4. Familiarity with budgeting, forecasting, and financial reporting.
5. Strong analytical and numerical skills.
6. Proficiency in Microsoft Office Suite, especially Excel.
7. Excellent organisational and time-management abilities.
8. Strong attention to detail and accuracy.
9. Effective written and verbal communication skills.
10. Desirable – experience with charity sector accounting.
