Project Administrative Assistant
We are currently working with a leading architecture practice that specialises in heritage architecture and are looking for an experienced administrator to join their team as a Project Administration Assistant. The role will based within their South Coast office as the company works all over the United Kingdom.
They are looking for someone who is ambitious, motivated, and keen to get stuck into the role, attending site meetings, write up minutes, managing documents, financial reporting and tracking and reporting on the team's actions. The ideal candidate will be someone with strong administrative experience who has worked within the construction industry before and has some awareness of the process and people involved in design and construction.
The Role
* To assist and support the projects team in all aspects of the project admin.
* Taking minutes for project meetings and workshops.
* Typing or drafting all correspondence, reports, etc.
* Reviewing documents created by others to ensure spelling, grammar, layout, and formatting are correct.
* Administering project online document control sites, including uploading, downloading, recording, distributing, printing, and organising information as required.
* Dispatching correspondence, drawings, reports, and other material as appropriate.
* Tracking and reporting on incoming requests for information.
* Chasing and producing information on reports.
* Assisting with invoices and tracking and chasing fees.
* Arranging meetings and booking meeting rooms.
* Scanning drawings.
* Printing, binding, or copying project documentation as required.
* General administration support for the project manager and team, including updating drawing registers.
* Maintaining the Quality Management Systems.
* Maintaining high standards of confidentiality concerning sensitive matters.

* Well organised, with good time management skills and the ability to meet deadlines.
* Strong IT skills.
* Ability to operate typical intranet and extranet systems.
* Professional and cooperative attitude, delivery, and telephone manner.
* Ability to remain calm and helpful, giving support across all project teams.
* Self-motivated with the ability to use initiative and work unsupervised.
* Excellent grasp of written English with the ability to check grammar and spelling.
* Ability to participate and become an active member of the project team.
