Job Description
The responsibilities of the Team Coordinator will include:
1. Maintain visibility of ongoing tasks and responsibilities of the [Team name] managers through frequent discussion.
2. Helping reallocate work between [Corporate/Commercial/Tax] managers as required.
3. Championing key software and ensuring software updates are identified and embedded effectively in the team processes.
4. Optimisation of technology solutions within the team, particularly using Microsoft functionality to improve process flows.
5. Identification of efficiencies and embedding process improvements.
6. Short-term and long-term resource planning.
7. Regular communication with [Corporate/Commercial/Tax] team members to ensure clarity over where and for whom they are working.
8. Assisting managers with progressing clients who have gone 'off timetable'.
9. Helping managers with communications with clients and HMRC.
10. Organisation of key activities that are common to all/most client jobs:
1. Client onboarding
2. Engagement letters
3. Bank audit letters
4. Stock takes
5. Billing schedules and forecasting
6. Arranging planning meetings
7. Ensuring that information requests have gone to clients
8. Checking that clients have provided information on a timely basis.
9. Co-operation with other Team Coordinators to obtain resources for [Corporate/Commercial/Tax] managers' jobs and provide support to other teams as appropriate.
11. Developing automation and standardisation as examples are identified.
12. Oversight of holiday, study timetables, and feedback processes.
13. Organisation of training.
14. Contribution to long-term resource planning (recruitment and forecasting).
15. Monitoring non-financial KPIs.
16. Liaison with other Team Coordinators to cover holidays and sickness.
The Successful Applicant
The successful candidate for the Team Coordinator role is someone with the following:
1. Track record of project coordination experience.
2. Capacity to coordinate multiple projects for clients.
3. Use of MS365 products, including Excel, Teams, and SharePoint.
4. Experience documenting processes and identifying efficiencies through the use of Microsoft 365 tools.
5. Ideally, project management qualification and experience, but this is not essential.
6. Attitude - collaboration with team colleagues, other TCs, need for diplomacy, growth mindset (for themselves and the firm).
7. Ability to delegate effectively.
