Document Controller / Site Administrator Location: Grays, Essex Salary: £35,000 – £40,000 per annum (basic) Company: Leading £50m Turnover Main Contractor Project: Major Fit Out Project About the Company Our client is a well-established, dynamic main contractor with a turnover of £50m, specialising in high-profile fit-out and refurbishment projects across the UK. Known for delivering exceptional quality and service, they are currently delivering a major project in Grays and are seeking a skilled Document Controller / Site Administrator to join their team on-site. Role Overview The Document Controller / Site Administrator will play a critical role in ensuring the smooth running of site operations by managing project documentation, providing administrative support to the site team, and ensuring compliance with company and client standards. The role requires a highly organised individual with strong communication skills and experience in both document control and site-based administration within a construction environment. Key Responsibilities Document Control: Set up, manage, and maintain the project’s document control systems (e.g., Aconex, Viewpoint, Asite, or similar). Upload, distribute, and track project documentation including drawings, specifications, RFIs, and technical submittals. Maintain document registers, ensuring documents are current, version controlled, and compliant with project protocols. Coordinate with internal teams, subcontractors, and consultants to ensure timely document submissions. Support quality assurance processes by ensuring accurate documentation is available for audits. Site Administration: Provide general administrative support to the site management team. Manage site filing systems, correspondence, and meeting minutes. Arrange site inductions and maintain training records and site attendance registers. Monitor and order office and welfare supplies as required. Support the preparation of project reports, presentations, and site communications. Manage visitor logs, access control, and maintain a professional front-of-house presence for site visitors. Requirements Proven experience as a Document Controller and/or Site Administrator on major construction projects. Familiarity with document management software such as Viewpoint, Asite, Aconex, or similar platforms. Strong IT skills (MS Office Suite, especially Word, Excel, and Outlook). Excellent organisational skills with the ability to prioritise workloads under pressure. Strong attention to detail and commitment to maintaining high standards. Excellent written and verbal communication skills. Ability to work independently and as part of a busy project team. Knowledge of fit-out and refurbishment environments is desirable but not essential.
