Hotel Café Royal, a 5-star luxury hotel in the heart of London, is seeking an Engineering Office Manager to oversee the day-to-day administrative and operational tasks within our Engineering department. With 159 rooms and suites, a luxury spa, a swimming pool, five food and beverage outlets, and several kitchens, the Engineering team plays a vital role in maintaining the hotels world-class facilities and guest experience.
TheEngineeringteam are an important and integral part of the hotels operations, ensuring the upkeep of our exquisite building are properly maintained to the highest standards for both guests and colleagues to enjoy.
As the Engineering Office Manager, you will work closely with the Director of Engineering to ensure the smooth running of the department, managing a team of 18 Shift Engineers and specialists. You will coordinate with various departments, oversee contractor scheduling, and ensure compliance with maintenance schedules and annual inspections. Strong administrative experience and excellent organizational skills are essential for success in this role.
Key Responsibilities:
We are currently seeking anEngineering Office Managerto join the team, working closely with the Director of Engineering to ensure the smooth running of the Engineering team and department.
You will be in charge of the day-to-day operations of the Engineering department assigning tasks to the team of Shift Engineers and specialists within the team. There will be communications and liaising with all of the departments within the hotel. You will be responsible for scheduling all contractors and external maintenance services and booking regular annual inspections.
Ideally you will have a background in hospitality and engineering, with an understanding of the role our Shift Engineers play in the hotel, however good experience within administration is essential.
This is a full time role, 40 hours per week you will need to be flexible to work weekends and Bank Holidays.
Your Profile:
* Experience using HR system (Fourth) to manage the Engineering team rota such as creating the rota, closing the rota and inputting absences and holidays.
* Good Excel skills preferably at an advanced level
* Working with Amadeus (HotSOS) creating profiles/items, adding/assigning and completing/voiding issues
* Experience working with Opera for all day-to-day operations such as allocating OOO/OOS and vacant rooms
* Excellent communication skills and spoken and written English to ensure clear communication with other departments
* Adacco purchasing system creating requisitions, creating purchase orders, creating products and vendors and receiving goods
* Experience using Docusign is also highly desirable
