Description FLEET HIRE DESK ADMINISTRATOR LOCATION: LEICESTER What you will be doing: An opportunity has arisen for a Fleet Hire Desk Administrator to join the team at Galliford Try, based in our Leicester office. The Fleet Hire Desk Administrator will be responsible for processing on hire and off hire requests including verifying rates and liaising with the GT customer base and third party suppliers to ensure that vehicles are provided to operational requirements and contract specification within required timescales. Accurately and efficiently recording vehicle and driver information onto the Fleet Management Systems. The job responsibilities and the position to whom the job holder reports may vary from time to time. As a consequence the job responsibilities will include but may not be limited to any or all of the following items as required by the Fleet Lead: Co-ordinate with Galliford Try Customer base to establish vehicle requirements specifications, this will involve occasional travel to major company Sites. Utilise the Epyx 1Link Hire Network and other systems to process on hire and off hire requests, verifying rates and allocating bookings to authorised suppliers and providing costings to internal customers. Raise Purchase Orders for external suppliers and accurately record purchase order/ hire instructions from internal customers in the Fleet Management System. Consult with suppliers and customers to ensure delivered vehicles meet the standard and specification required by the contracts and monitor rentals ensuring rental extensions and registration changes are processed as required and correctly recorded within the Fleet Management Systems. Update the Motor Insurance Database with vehicle changes as required. Work alongside the Fleet Rentals Manager to manager 3rd party supplier performance and assist in pricing and tariff reviews and comparisons. Assist in the investigation and management of sales ledger and purchase ledger invoice queries and approvals in line with delegated approvals. Work with team members to manage the utilisation of fleet vehicles by allocating spare vehicles where a long term vehicle rental is required. Assist in other duties within the office as required. Continuous improvement in work practices and sharing these with others. Comply with safety, quality, environmental and management systems. Process on hire and off hire requests, ensuring that vehicles are provided to operational requirements and contract specification within required timescales. Update the Motor Insurance Database and Fleet Management systems as required. Ensure Purchase Orders, both to suppliers and from customers, are accurate and recorded correctly. Ensure all vehicle and drivers records are kept up to date and accurate Manage incoming queries to the Fleet Help desk via Service now portal. About You: Customer relationship skills. Computer literate Excellent communication skills Good team worker Travel may be required so a full driving license is essential. Previous Hire Desk experience in either Vehicle or equipment Rental. Experience dealing with a Customer Service Case management system.
