A fantastic opportunity has arisen for a Facilities Coordinator to join our facilities division at Bespoke Facilities Management LTD a Company that is an equal opportunities employer.
We are looking for an experienced Facilities Coordinator to join us at a Office building within the EH19 Area, The facilities coordinator will oversee all activities inside a building, making sure that health and safety standards are met and arranging for repairs when needed. They usually report to the facilities manager and the two of them work together in tracking and coordinating with external vendors
Activities
Deal with visitor's deliveries & ad hoc requests, with excellent customer service to our internal staff by making sure our building is running efficiently.
Assist the facilities manager in actively managing and monitoring contractors on the site and reporting on the performance of those contractors.
Report any maintenance /cleaning issue to Facilities Manager and log them directly with CAFM System, ensuring that they are resolved in a timely manner
Daily walk arounds and inspections as appropriate, personally engaging with the customers.
Actively managing all Health & Safety matters relating to the building, ensuring the highest levels of compliance and legal requirements are achieved.
Recording and reporting building matters monthly, to enable monthly management meetings.
Comply fully with the Health and Safety Policies of Bespoke and clients (where applicable).
Comply fully with the Environmental Management Policy of Bespoke and Clients (where applicable)
Conduct inspections of common parts and void floors (frequency to be agreed with line manager), complete checklist and advise facilities manager of any repair or maintenance issues.
Carry out and record flushing of infrequently used water outlets
Act as the fire marshal for site and assist with evacuations
Manage the car park and tenants effectively, be it through a parking enforcement app or through tenant liaison
Carry out minor non-hazardous maintenance tasks such as changing light bulbs, batteries, padlocks, fixing door handles and toilet flushes
Understand the Air Conditioning system and make daily changes according to the weather or assist the AC maintenance contractor in resolving tenant AC issues (training provided)
To complete a reasonable request set by management
Attributes and Experience Required
When required to man the reception desk, taking calls and directing staff and visitors to the correct location.
Field and resolve tenant queries where possible, forwarding any that cannot be resolved to the FM
You are the 'go to' person in your area of expertise/specialty for questions from your colleagues, clients, and customers.
You are solutions focused, advising colleagues and stakeholders with solutions, not problems.
Excellent knowledge of MS Outlook, Word, Excel, and PowerPoint.
You possess H&S and compliance experience, site management, onsite service partner liaison & performance management.
You have experience with or are willing to learn CAFM reporting systems such as eLogbooks, Meridian, TRAMPS and RiskWise.

The role includes:
Monday to Friday
08:00 to 18:00 (Paid Break), Addtional requirement to start at 07:30 at the moment.
Training and uniform provided.
